Guided Implementation: Quickstart+ (Additional Fees Required)

Quickstart+ is a guided implementation option designed to help new users get set up smoothly and confidently. This approach provides hands-on support, structured guidance, and ongoing check-ins to help your team move from setup to daily use with less stress.

Paid Implementation Training Packages

We offer several paid packages which include one-on-one training with our Implementation team to help you become a successful user. Any package can be expanded to a two-session engagement which includes reviewing your set-up, troubleshooting, and addressing any errors.

Package 1: Organization Setup

This one-hour training session with our Implementation team will cover setting up your application, customizing your organization, and adding staff.

  • Staff Permissions

After this training, you will:

  1. Understand the meaning behind helpful icons such as the "?" and CMS bubble
  2. Acquire the skills/knowledge to Add both CPT and Non-CPT Service Types
  3. Acquire skills/knowledge to Add Locations and Rooms to their organization.
  4. Understand the purpose of Client Flags and how to create them.
  5. Add a staff member to your organization.
  6. Set staff permissions and learn the differences between the different permission settings.

 

 

 

Package 2: Insurance Billing Setup

This one-hour training session with our Implementation team will cover setting up your application to properly bill insurance and enrolling with Apex as your Clearinghouse.

After this training, you will:

  1. Complete Organization Settings properly for Insurance Billing.

  2. Acquire the skills/knowledge to set up staff profiles properly for insurance billing.

  3. Acquire skills/knowledge to set up the Client's profile to properly bill insurance.

  4. Acquire the skills and knowledge to add insurance to a Client's profile.

  5. Acquire the skills and knowledge to add a payer to your system with the appropriate payer ID.

 

Package 3: Insurance Billing Workflow

 This one-hour training session with our Implementation team will cover an overview of the claims process, creating an invoice, submitting a claim, and reconciling the ledger.

NOTE: Must be enrolled in Ensora Clearinghouse and the system must be set up for insurance before engaging in this service. See Prepare for Ensora Clearinghouse Enrollment for more information. This training session is a systems-based training. Advice on billing scenarios will not be provided.

  2. Create invoices for appointments.

  3. Submit a claim to insurance.

  5. Acquire the skills and knowledge to apply both insurance and client payments to an invoice.

  6. Acquire the skills and knowledge to add any adjustments or write-offs to an invoice.

  7. Acquire the skills and knowledge to process ERAs (if applicable)

 

Package 4: Client Portal

This one-hour training session with our Implementation team will cover setting up and utilizing the client portal.

After this training, you will:

  1. Understand and setup their Client Portal subscription

  4. Acquire the skills and knowledge to secure message Clients using the Client Portal.

  5. Acquire the skills and knowledge to apply both insurance and client payments to an invoice.

  6. Gain an understanding of the Client's view of their Client Portal and how to support clients when they are using the portal.

  7. Acquire the skills and knowledge to send and review intake forms.

 

Package 5: A Day in the Life of a Therapist

This one-hour training session with our Implementation team will cover the daily tasks that a therapist must complete in the system to ensure proper workflow for billing and documentation.

  1. Configure their Calendar and settings to mirror their availability during the workday.

  5. Acquire the skills and knowledge to create a Progress Note.

 

Package 6: Dynamic Forms

This one-hour training session with our Implementation team will cover an overview of our Dynamic Forms feature and assistance in creating your own Dynamic Form.

Package 7: Assisted Clinical Documentation Upload

This one-hour training session with our Implementation team will cover how to upload clinical and general documents to your Clients' profiles.
