Add Staff

Add staff members to the system and select permissions based on the role the staff member plays in your organization.

Roles

  • Roles are determined by the permissions assigned to staff in their staff profile. The ability to make changes or complete processes are determined by these permissions.
     

System Administrators

  • Staff who will be responsible for managing the system can be given one of two sets of permissions:
Organization Administration Administration
This set of permissions includes all other permissions and allows the staff with these permissions to complete any task or setting changes in the system. Administration permissions allow access to organization settings and activities and include basic Therapist, Billing, and Default permissions.

 

Billers

  • Staff responsible for managing billing and invoicing including client ledgers, billing and insurance information, payment history, and billing reports. Billing permissions also include basic default permissions.
     

Therapists & Providers

  • Therapists or staff actively seeing clients will receive Therapist permissions. This provides access to client cases, clinical data, and case-level reports. Therapist permissions also include basic default permissions.
     

General Staff & Schedulers

  • Default permissions are generally given to general staff and schedulers. These permissions allow access to the agenda, adding and managing clients and groups, basic client data and client reports and manage staff calendars and appointments.

 

Add Clients

Add new clients and client details to the system. You can also add multiple clients by using Import clients.

Assign Staff

You can assign staff to clients which connects them to the client appointments, cases, and notes. Staff assigned to clients will automatically be assigned to any active Client Cases.

Invoicing

Creating an invoice is how you bill a client for their appointment whether it is being paid by the client, an insurance claim or both.
