Jump to Section: New Features & Improvements Defect Fixes New Features & ImprovementsOrganization Your organization can now enable multi-factor authentication (MFA)! MFA adds an additional layer of security by requiring both a password and a verification code sent your email. MFA can be required for all staff, or enabled for individual staff.   Clients Two new fields "Plan type" and "Insurance notes" are added on the Client Insurance Details page along with existing core elements of the client's insurance policy. The notes section provides flexibility to record important contextual information related to the client's insurance.   Billing A new checkbox has been added to the “Apply to All Invoices” button under Batch Invoicing where the option of “Group all appointments into single claim” can be checked once and applied to all invoices that are part of your filtered results, making this checkbox checked by default when creating these invoices. Invoices with a $0 balance will no longer be added to Claims Awaiting Submission during automatic invoice processing.   Support Center The link under the Support Center for “Contact Us” has been updated to connect you directly with the page where a support ticket can be opened to simplify the process of contacting support.   Payment Processing When a dispute is recorded on a credit card transaction made through Therapy Brands Pay, the transaction enters a resolution process that temporarily prevents a refund from being issued until the dispute is resolved.   e-Prescribe E-prescribe staff who were updated to a Mid-Level Prescriber after registering are now able to prescribe successfully. Previously the supervisor added was not linking back to NewCrop. [Back to Top]  Defect FixesSchedule Corrected an issue where the “delete” button was not working to delete a recurring appointment series from the new edit appointment modal for occurrences that were greater than 60 days in the future. This has been corrected so that now these appointments can be deleted as expected from this modal. Deleting an occurrence of a recurring multi-staff appointment for one staff member will no longer delete the appointment for other staff members. Corrected an issue where when editing an appointment that contained no service type, the appointment would disappear from the calendar even if nothing was changed on the appointment until the page was refreshed. This was fixed so that this appointment remains on the calendar as expected when the edit modal appears. If your organization is using our new scheduling experience, the column headers will now remain visible when scrolling in the day, week, month, and staff views of the calendar. Corrected an issue by removing previously deleted appointments that were part of a future occurrence from the calendar as these appointments were still being shown on some calendars. Corrected an issue where the service type was visible on the appointment after changing a client appointment to a non-client event. For organizations using the new scheduling experience, the time picker in the appointment modal now increments based on your preferred time scale (in minutes). You can still manually enter any time outside of your preferred time scale if needed. Corrected an issue where an "Invalid Date" error occasionally appeared on the Schedule, preventing appointments from displaying when navigating from the Clients list. Corrected an issue by removing duplicate deleted appointment occurrences, and linked invoices that were created through background job. Appointments that have been billed will be cleaned up on a case-by-case basis. Customers will be instructed to remove claims/invoices before updating the appointment(s). Corrected an issue where rescheduling an appointment series that included deleted appointments would reappear as part of the rescheduled appointment series. This has been corrected so that the deleted appointment remains deleted when the appointment series is rescheduled.   Cases & Notes Notes will no longer be applied to clients with a canceled, late cancel, or no-show status when applying a group note to all members.   Billing Corrected an issue where automatic invoice processing failed to add some invoices to Claims Awaiting Submission if a primary payer exclusion rule had been created, and the payer excluded was listed as a secondary payer for a client. Resolved an issue where some invoices for kept appointments were generated 3-4 days late instead of during the nightly automatic invoice creation job. Automation timing has been adjusted to ensure invoices are generated on schedule moving forward. Corrected an issue where the Batch Eligibility page was not loading when clicked on for those that had this feature. Now the page will load as expected. Corrected an issue where some of the words in the “Rejection/Denial Details” column on the Rejected/Denied and Resubmitted tabs were getting split in the middle of the word when several columns were added to the table grid. This was corrected so that this word will not split in the middle when adding to the number of columns.   Reports Corrected an issue where the sorting functionality was not working on the ”Client Name” column in the Claims Activity report. Now you can sort this column by the client’s last name if needed. Corrected an issue where the total boxes on the submitted claims report was not always showing the correct value as it was not factoring in when all filters were applied to the grid. This has been corrected so that all filtered options made to the grid will factor into the total box calculations. The Legacy Detailed Attendance report and Beta Detailed Attendance report can now be run as expected. Previously, an error was occurring behind the scenes which caused the report to not load or an error message to show. Corrected an issue with the Rendering provider report, where the "Mark as Paid" column gets hidden from the report grid when the user downloads CSV or PDF file. This has been fixed where the Rendering provider report retains "Mark as Paid" column on the report grid when downloading a copy of the report.   Organization Corrected an issue where duplicate SMS appointment reminders were sent out after a client had confirmed the appointment. This has been corrected so that the appointment reminder will not be sent out for a second time after the client has confirmed.   Profile & Settings Corrected an issue where some staff members’ saved preferences were reverting and not being saved the next day. This should now be corrected so that their changes will remain after saving.   Client Portal Corrected an issue where clients were able to add insurance from the client portal when the toggle ”Allow clients to add new insurance payers” was set to false in the client portal setting. This has been fixed where the "Add Insurance" button on the client portal is hidden when the toggle setting is false.   Payment Processing Corrected a spelling error in Batch Payments where "batch" was incorrectly displayed as "bacth" in an error message.   e-Prescribe The organization's phone number will now pull over correctly when subscribing a staff member to e-Prescribe. Any changes or additions in skipped versions are included in the next public release. Version 3.64 New Features & ImprovementsNew Service Definition Categories for CCBHC Billing Three new options are available to select within the Service Definition Category field in Configuration - Services/Payers > Service Definitions to allow for grouping of CCBHC-billable services. CCBHC-PPS1 When an 837P or 837I billing run includes a service associated with this Service Definition Category, one claim will be produced for each Service Date. The service tied to this Service Definition will be first on the claim. CCBHC-PPS2 When an 837P or 837I billing run includes a service associated with this Service Definition Category, one claim will be produced for the month. The service tied to this Service Definition will be first on the claim. CCBHC-Shadow Claim Services associated with this Service Definition Category will be reported below the CCBHC-PPS1 or CCBHC-PPS2 service on the same claim. New Repeat Billing Provider Checkbox for 837I & 837P Configuration The 837 Configuration now includes a checkbox to repeat the Billing Provider information in the Staff Loop (Loop 2310A) for the 837I and (Loop 2310B) for the 837P. This should not be selected unless a payer specifically requires it.  Remittance Batches Modification After adding the ability to mark Remittances as Done, Remittance Batches could not be deleted if an associated Remittance has been marked Done without a payment being created. If a payment has been created from a Remittance, the Batch cannot be deleted. Update to Form Sharing When sharing forms to multiple recipients via InForms, users will not be able to "Add Another" recipient if the remaining contacts have invalid email addresses.  Supplemental User Password Requirements To enhance security when creating a Supplemental User, the password assigned must now have the following required elements: one digit, one uppercase letter, and one special character.  Password Display in CCD Export Download When downloading a CCD Export, the user will no longer see the password displayed in the URL of the file.  New HIPAA Consent Form The application now has a consent form to inform Clients of their HIPAA rights. When accessing a Client record, users can navigate to the HIPAA Notification form on the Timeline. Users must configure the HIPAA Notification form within Configuration - Client Chart > VHR Timeline to make it available.  New Consent for Treatment Form The application now has a standard Informed Consent for Treatment form. When accessing a Client record, users can navigate to the Informed Consent for Treatment form on the Timeline. Users must configure the Consent for Treatment form within Configuration - Client Chart > VHR Timeline to make it available.  Update to AR Status Report for Export Updates have been made to the AR Status Report for Export to ensure that Denial Reasons will be visible whether added via Batches or Remittances. [Back to Top]   Defect FixesTreatment Planning System - Graph Display An issue was resolved with the Treatment Planning System graph display within the Face Sheet, where decimal values were being rounded and being displayed as whole numbers. Decimal values will now be shown accurately as decimals.  Client Account Tab Display An error was corrected in the Client Account tab display, where payments were not appearing if they were missing charge information. Client Payments Reprocessing Reprocessing of services that had Client Payments applied was corrected so that the Client Payments go back to a Ready status.  Unsolicited Lab Results An issue was resolved where when manually matching unsolicited lab results to a Client, the system would fail to display the associated order.  Authorizations for Unapplied Payments Authorizations are no longer removed from a charge when an Unapplied Payment is applied. Service Bundling for Self Pay Payers A defect was corrected where services were not bundling for Self Pay payers if the Client had no other payer. Share Forms to MyCare Integration Issue An issue was resolved with the MyCare integration where partially created forms were receiving a Failed to Assign error when shared to MyCare via Informs.  Adjustment Messages - Remittances An issue was resolved where Adjustment messages would break if the remittance was reprocessed. When a remittance that had adjustment notes was reprocessed, users were unable to change the adjustment notes value, and it would create a second adjustment note that could not be deleted.  Firefox Browser Form Issue An issue was corrected where when using a date/time field within a form, the dropdown function would not open properly when using the Firefox browser. Audit Search Sorting Sorting by Client in Audit Search has been corrected. Jump to Section:New Features & Improvements Defect Fixes  New Features & ImprovementsSearch patients by Birthdate or Phone When searching for a patient in the upper left of the system, you can now type in their birthdate or a contacts phone number to find them! Try it out by using a format like 1/5/2024, 01052024, or 8881112222. Show coverage status on eligibility results If your clinic uses the eligibility requests, the Status column of the results (in either Schedule > Reminders > Verifications or the patients chart) now indicates if the patient has any coverage with that payer or not. NOTE: This status does not indicate eligibility for specific services. Choose specific date for automatic eligibility requests If your clinic uses the eligibility requests, an admin can now choose to automatically submit requests on a specific date each month. These options can be changed in Admin > Clinic Options > Eligibility Request Settings.    Defect FixesText areas collapsing in new assessment sections When editing an assessment section (like Performance Skills or Findings) in an evaluation, multi-line text fields that already contain text will now be expanded automatically. Previously, these text fields loaded with only a few lines shown by default. Sort patient cases consistently When viewing a list of a patients cases, such as when starting a quick discharge or viewing their cases in the patient chart, the cases will now appear in a consistent order. Can’t delete referral When trying to delete a referral with an eligibility request, an error will now appear explaining the reason. Statement tab inaccessible on patient billing account Resolved an issue where a customer couldn’t load the Statement tab on a billing account.

If your organization would like to use this feature during our beta, please email ABADataCollection.support@ensorahealth.com.  See SOAP Note Addendums Setup & Use for more information. NOTE: There are new security group rights for this feature. By default, no users will be able to create addendums until they are given this right.    App New SOAP Note Addendums feature is now available in  BETA  In organizations where this feature is enabled, users now have the option to add an addendum to the end of a published SOAP Note rather than editing the note. Performance improvements to SOAP Notes screens  We’ve made technical improvements that will boost performance for users working with SOAP Notes [Back to Top]  Defect FixesPortalShow validation message when Adding Date Mastered for Target with No Date Opened  Users will no longer receive a system error when trying to add a date mastered to a target with no date opened.  SOAP Note Date and Time Format Causes Activity Log Issue  An issue has been resolved where a change to the time on a soap note would erroneously show in the activity log due to a formatting issue.  Character Limit for Target Instructions when Importing Programming Does Not Match Character Limit when Manually Creating Targets  We’ve increased the character limit for target instructions when importing programming to match the limit when typing target instructions in the portal. Duplicate User Accounts Being Created when Save is Accidently Clicked Multiple Times Users will no longer be able to click Save more than once to accidentally create duplicate users. Saving and Submitting SOAP Notes in a Draft Status without Making an Edit does not Publish it Saving and submitting a draft soap note without making an edit will now publish the soap note.   AppIntermittent syncing issues for videos taken on Android devices  We’ve compressed videos taken on Android devices to ensure they sync to the portal as expected.  Duration Target Timer Enhancements  We’ve made improvements to duration target timers to improve performance issues. We’ll be making these same improvements to other target and behavior timers.  Progress Bars Clearing Before the Start of a New Day  Some users experienced an issue where progress bars were clearing before the start of a new day. Jump to Section:New Features & Improvements Billing & Payments Clinical RCM Reporting Defect Fixes Billing & Payments Calendar Clinical  Reporting System   New Features & ImprovementsBilling & PaymentsNew Payer Setting - Claims As of October 1, all Optum payers will require a DQ qualifier to flow with the supervising provider. These claims need to have the Supervising Provider travel in the Rendering Provider Loop (2310B) and Supervising Provider Loop (2310D). ClinicalNew ICD-10 Diagnosis Codes ICD-10 codes have been updated. These changes became effective on October 10, 2024.  RCMNew Non-RCM Payer Flag Option A new option was added to the Payer Rules tab for "Not an RCM Payer" after the "Non-BillCare" option in list. The option is blank by default. Reporting50640 Report The 50640 Report now includes years up to 2040. 5760 Report Several updates were made to the 5760 Report, including adding new codes to the Auxiliary Services Summary, and additional virtual training provided with On-Site training tally. 3400 Report Updates were made to the poverty level criteria in the 3400 Report to reflect 2024 poverty level guidelines. In the Change Client screen, within the Misc tab, the Number in household field will default to "Unknown". In the User Defined tab, the Income field will default to "Unknown". These changes were applied to ensure incomplete fields are not automatically added to the report as "0", so that the poverty level is calculated based on the most recent standard. 3470 Report Several updates were made to the 3470 Scrub Report, including adding Appointment Type, adding information from the Admissions tab, displaying each billing code billed for the appointment, and removal of various columns. [Back to Top]   Defect FixesBilling & PaymentsPolk Country Billing Invoices When creating invoices with multiple clients for a payer that has an invoice display type of "Minnesota County Voucher 2", the correct rates should pull.  North Homes Invoices The Vendor Signature field should now print on North Homes invoices. Paid and Unpaid Invoice Filter Fix When "Both" is selected from the Show dropdown menu in the Billing module, both paid and unpaid invoices should be displayed.  1300 Report Appointments Any appointments without service lines will now appear on the 1300 Report.  5060 Report Fix The 5060 Report was displaying a mismatch in the number of individuals served. It was updated to tally the correct number of individuals served.  Charge Amounts When Resending Claims When claims are resent to a payer, the original charge amount will be sent. CalendarResource Reservations Resource reservations should be a uniform alignment and size now, filling the entire spot. Clinical Wiley Practice Planners - Progress Notes When a Progress Note is created, it should pull the Dataset from the most recent Treatment Plan. ReportingUpdated WCC-BH Numerator Calculation The numerator was updated to pull in data for the entire measurement year (January 1 - December 31). SystemResource Reservation - Location Display Selection of location in the Appointments module will now show in the grid according to what the Location filter is set to. [Back to Top]

Chat one-on-one or in a group message.  See who is logged in or away and for how long.  Minimize and expand the chat, so it is visible only when you need it.   Cases & Notes Changes to a clients diagnosis codes will no longer modify the Diagnostic Impressions field when viewing previously signed progress notes or treatment plans in the application, and will now match the PDF document. An error message will appear when a staff member attempts to sign or approve a progress note if the diagnosis codes have been removed at the same time by another staff member.    Defect Fixes  Schedule Corrected an issue where appointments that were part of a recurring series that were past 60 days in the future would show an end time of 12AM instead of the true end time. This has been corrected to show the true end time of the appointment. Corrected an issue where the Default Schedule View User Preference was not redirecting the Users to the correct Schedule View when clicking on Schedule within the lefthand navigation.   Client Portal Corrected an issue where sometimes the secure messages counter was showing in a negative value. This has been corrected so that the correct number will show under the secure messages.

Jump to Section:New Features & Improvements Reports  Organization Cases & Notes Reports Defect Fixes Schedule Client Portal  New Features & Improvements Reports  A new report under Appointments called the Parental Verification Form allows you to generate the Parental Verification for Receipt of Behavioral Services form that is required to submit to Regional Centers. The selected clients' billable appointments for the month as well as guardian signatures will automatically populate on this form to save you time when submitting these forms.    Organization A new organization setting called: Enable Guardian Appointment Verification Signature was added. This will allow signatures from guardians to be collected from the clients appointment page to verify the details of the appointment. Any changes or additions in skipped versions are included in the next public release. Version: 3.63 New Features & ImprovementsUpdates to ICD-10 Codes ICD-10 codes have been updated with revisions. These changes became effective on October 10, 2024.  NewCrop - New Alert A new Alert has been introduced for NewCrop enabled users. When enabled, an Alert will display to the prescriber if a Client's Prescription has failed in NewCrop. The link present in the Alert will launch the user into their Task page in NewCrop. Default values for this Alert should not be changed. New Bundling Options  New Bundling Options are available on Bundled Service Definitions. See Service Definitions: Profile Tab for more information.  Payer-Specific Bundling Options are now available under Payers. See Payers: Bundled Services Tab for more information.  New Core Assessment - Mental Status Exam (MSE) Form  The Mental Status Exam (MSE) form is now available within the [Client] Timeline. The form is based on a modified APA MSE template, ensuring comprehensive and standardized assessments. The system displays values for each question based on the active values in user defined lists. See Mental Status Exam for more information. FormDesignEHR Version 6.0.43 This version update resolves an issue where if the Style Properties on one field were changed, the change would be applied to all fields in the form when opened within the [Client] Timeline.  Provider Taxonomy PRV Segment The Provider Taxonomy PRV Segment is no longer reported unless the Staff member being reported has a Taxonomy value.  271 Import Validation The 271 Import process now validates that the GS08 version number matches that of a valid 271. If it is not a valid 271 file, the system will not attempt to import the file and will instead produce an error. Unapplied Payments - Change to Processing for Reprocessed Payments In cases where Unapplied Payments are not applied before reprocessing a claim, the Unapplied Payments job will fail. To prevent this, processing will now skip any Unapplied Payments that are attached to reprocessed payments. Informs - Client Contact Information If a client contact does not have a First and Last Name added in their Profile, and only includes the email address, the contact will no longer be available for selection as a recipient in Informs.  [Back to Top]   Defect FixesClaims Management Filtering An issue was resolved where filters that are present in the Claims > Claims Management tab were not visible if the user navigated away from that screen and returned.  Informs - Sharing Forms for Confidential Client When sharing a form for a Confidential Client via an email link, when the link is clicked, the recipient of the email will now see the Client's name and the signatory name will show instead of "Confidential Client".  When sharing a form via Informs for a Confidential Client, Episode Staff will now see the Client's name in the Share Forms window.  837 Professional - Other Payers  A defect was corrected where Other Payers without a charge were being reported on the 837P file without adjudication information. Those Other Payers will not be reported unless the configuration indicates that Loop 2320 AMT*A8 is required.  Remittance Reprocessing Adjustment Messages A defect was corrected where manual Adjustment Messages were not copied correctly during Reprocessing. The Messages were missing the value within the Code field, which resulted in incorrect CAS segment reporting. The value is now copied forward for reporting.  Clients > Payers > Add Payer Error An issue was resolved where users were experiencing an error when attempting to click "x" and clear the Payer field within the Add new Client Payer window.  Group Event - Add Client Option An issue was resolved where when more than 12 Clients were scheduled in a Group Event, the Add Client option would appear in the middle of the screen. The option will now appear in the correct location. Audit Search Sorting An issue was resolved where sorting in the Audit Search screen would cause results to disappear. 270 File Creation - Submitter ID (ISA06) When creating 270 files, the ISA06 value was not being reported from the Submitter ID (ISA06) field in the Configuration - Services/Payers > [Payer] > Eligibility tab. This has been corrected so that the ISA06 value is reported from the corresponding field.  Services - Stuck on On Hold Status An issue was resolved where services were becoming stuck in "On Hold" status when the service transactions were reversed and added to a new job within Fiscal Overview > Unprocessed Services and the job was finalized.  [Back to Top]   AddendumClaims Reprocessing ChangeDue to agencies experiencing failed Remittance processing jobs, a change was made in Version 3.63. Claims can no longer be reprocessed if there is an Unprocessed Remittance attached to the current charge. Prior to this change, if a user tried to process a Remittance that was attached to a charge that had been reversed in Reprocessing, the Remittance processing job would fail. The correct order of operations for users is: Process outstanding Remittances that have a status of Ready or Not Ready. Reprocess the service. If a user tries to Reprocess a service where a charge has an attached Remittance that has not been processed, that Claim will not be added to the Reprocessing job. Jump to Section:New Features & Improvements Cases & Notes Defect Fixes Schedule My Tasks Staff Billing Dynamic Forms Reports Organization  New Features & Improvements Cases & Notes A new organization setting is available that prevents progress notes from being signed or submitted if there are no diagnosis codes.    Defect Fixes Schedule Corrected an issue where duplicate Availability blocks were created for staff in a different time zone. This issue has been corrected so that a staff member creating an Availability block for another staff member in a different time zone does not create duplicate availability blocks. Corrected an issue where appointment occurrences as part of a series that span greater than 60 days from current time displayed 12am as the end time of the appointment occurrences. This has been corrected so that there is no time change in series appointments that are greater than 60 days. For organizations on the new scheduling updates: The new appointment modal and the edit appointment modal will no longer continue to display if you’ve been logged out due to inactivity. Corrected an issue where a client was not saved as part of a group appointment if the client had a comma in their first or last name. Previously, they were redirected back to the login page if they attempted to log in.   Billing Resolved an issue preventing customers with RCM services from removing claims stuck in the "Awaiting Submission" status. Claims can now be successfully submitted. Corrected an issue where a multi-staff appointment would link the incorrect rendering provider when creating the invoice from the Agenda. This has been resolved so that the rendering provider is set to the logged-in staff when creating an invoice.   Dynamic Forms Corrected a typo where the word “HIPAA†was misspelled in the Dynamic form titled: Release of Information: HIPAA AUTHORIZATION FOR USE OR DISCLOSURE OF HEALTH INFORMATION'. Any Dynamic Form (Case, Client, Progress Note, Intake, Organization) can now be filled out as expected. Previously, an error was occurring that prevented the information from being saved.   Reports The Service Date column will now sort correctly on the Canceled & Rescheduled Appointments report.   Organization Corrected an issue where an error occurred if the rate entered for a service type was over a certain number of digits. Now, only 8 digits or less can be entered for a service type. This issue has been corrected so that a staff member creating an Availability block for another staff member in a different time zone does not create duplicate availability blocks. Corrected an issue where appointment occurrences as part of a series that span greater than 60 days from current time displayed 12am as the end time of the appointment occurrences. This has been corrected so that there is no time change in series appointments that are greater than 60 days. Corrected an issue where editing an upcoming appointment would display error warning for staff position restriction on selected the service type(s). This issue has been resolved so the error warning does not appear on the appointment modal when the staff position is linked to the service type. For organizations on the new scheduling updates: The new appointment modal and the edit appointment modal will no longer continue to display if you’ve been logged out due to inactivity. Corrected an issue where a client was not saved as part of a group appointment if the client had a comma in their first or last name. More Information for Superbills When the Show Billing Details option is turned on, invoices with charges from an appointment will now include the patients date of birth and the address of the appointments location. An admin can now turn on an option to include GO, GP, or GN modifiers on invoices for all billing codes submitted from an OT, PT, or Speech services. Improved Stability for Status Updates Reminders for Status Updates will now consider only the last 12 months of appointments to improve performance and stability.    Defect FixesZeros in Billing Codes are Sometimes Being Removed on Charges report If a billing code has leading zeroes, such as 00011, the full number will now be included in the Charges report in new Insights. Previously, leading zeroes did not appear. Missing Rx Expiration Reminders Resolved an issue that sometimes caused Rx Expiration reminders not to appear. Duplicates in the Charges Report Resolved an issue that caused duplicate rows to appear in the Charges report in new Insights in some situations.
