Reporting Capabilities in Theranest

While there are a number of reports in Theranest/Ensora, they do not meet the needs of the practice. 

There are a large number of discrete data fields within Theranest that can be used in making customized reports. 

When will functionality for customized reports be enabled? In the “old community forum” it has been brought up many times over the years and there are over 600 votes for it. This is a basic capability that is needed to manage business and clinical operations. We completed a review of all reports to identify the data elements in each of them to see if it contains information that we need. These are just some of the gaps that were identified.

Detailed Attendance

  • Need to be able to differentiate between clients that are students and clients that are from the community. 

  • Need to differentiate by appointment type

 

Appointment Status

  • We have to run a cancel and Rescheduled report in conjunction with the No show show report and manipulate that data in excel to get all the information we need in one report. 

 

Clinic Volume and Caseload

  • Need the ability to evaluate clinic volume based on providers, time, days, and room to support staffing decisions.

  • Caseload information, number of clients, type of clients

 

Insurance

  • Need to report the types of insurance for clients - even if it is not being billed. (Need ability to collect this data in a discrete field without using the billing/insurance features)

 

Progress Note Signature Report

  • Meets the current need for students, but is somewhat difficult for clinic managers to use because the assigned staff all appear in a single column. Desire for the assigned staff to be split into individual columns to aid in clinic-wide assessment of notes missing signatures. Each note needs to be signed by the student who saw the client as well as at least one supervisor.

 

Appointments

  • Need the ability to track details for walk-in/crisis appointments; day, time, volume provider etc.

 

Service Type Report

  • Ability to assess total visits by service type and telehealth visits vs in person visits.

 

Detail Client Demographics

  • Ability to report on client demographics for students: including undergraduate vs graduate level, international students, gender, race, age, military status, program of study. This would support both reporting to the University and exploring the possibility of embedded interns for programs with a high usage.

 

Productivity/Usage Report

  • Productive hours report, i.e. How many clinical hours does every staff member work in a month?

  • Administrative time report to track charting, outreach, etc.

 

Retention Report

  • The current report is not used because it gives limited information. 

  • Need to track how many sessions clients stay for (i.e. How many clients are seen for 1 appointment, 2 appointments, 3 appointments, etc?). Would need to distinguish between lost to follow up and cases that are closed.

 

Social Determinants of Health

  • Social determinants of health (SDoH) report that would address food, housing, and connection with student groups for students

While we don’t have an exact timeline to share yet, your feedback—especially the specific gaps you’ve listed—will be invaluable in shaping priorities.
