Online Scheduling and Visibility of Unconfirmed appointments

We have six office staff with full admin permissions and 27 therapists. Office Staff currently handle all initial new client  intake via phone and verify insurance before confirming new client appointments. 

We would like to allow new clients to request an appointment online, then have our office staff confirm their insurance and then have office staff send a message to the client confirming the appointment. We do not want our therapists involved in confirming new client appointments.

However, when an appointment has been requested via a New Appointment Link, the Unconfirmed Appointment only shows in the therapist's account but not for office staff. Online scheduling for new clients in Theranest is impossible without office staff being able to see new Unconfirmed Appointments.

Thanks for sharing your workflow. At this time, there isn't a setting that would allow office staff to view unconfirmed appointment requests submitted through a New Appointment Link. Those requests are currently associated with the therapist selected on the scheduling link, which is why the unconfirmed appointment appears in the therapist's account.

For practices that verify insurance before confirming appointments, a common workaround is to have clients submit a request through a New Appointment Link on the office staff’s calendar and include the desired therapist (if applicable) in the notes section. Office staff can then verify insurance and coordinate scheduling once the request is received.

Additionally, we will be releasing 2-Way Google Calendar Sync in the near future. With this feature, practices could create a Google Bookings page that allows prospective clients to request appointments online. Those appointment requests would sync to the provider's Google Calendar and appear in TheraNest through the calendar sync, allowing your administrative team to review the request, verify insurance, and then decide whether to create a billable appointment in TheraNest. This may provide a workflow that more closely aligns with your current intake and insurance verification process.
