If you have administration permissions, you can make changes to your subscription plan. The steps you take to manage your plan and subscriptions to add-on features depend on when your trial or subscription began. To make sure you're getting the correct instructions for your clinic, follow the steps in the article that corresponds with your trial or subscription start date.
TIP: Not sure when your subscription plan started? Check the subscription page images beneath each plan link, then log in to the system and go to Organization > Manage Subscription(s) in the side navigation. If your screen matches the one in the image, that’s your plan.

Plans Starting Before December 4, 2024

Plans Starting After May 22, 2025

NOTE: These instructions also apply to customers with expired trials or cancelled subscriptions that renewed after August 1, 2025 .
The Manage Subscriptions page has a Manage Subscriptions window, a Manage Plan tab, and a Manage Licenses Tab.
Migrate from Active Client Plan to Per Provider Plan
If your subscription plan began before December 4, 2025, you can migrate to the Per Provider plan when your subscription expires or is cancelled.
- Click Organization in the side menu.
- Click Manage Subscription.
- Click the Cancel Subscription button.
- Compete the steps to cancel your subscription. Your subscription will be cancelled at your next renewal date (monthly or yearly). At that time, you will be able to subscribe to the Per Provider Plan.
NOTE: If you need to migrate to the Per Provide Plan prior to your next renewal date, contact Support.
- After the cancellation has processed, Click Organization in the side menu.
- Click Manage Subscription.
- Click Generate Usage Report to determine how many User and Addon licenses will be required to maintain your current subscription configuration.
A CSV Report will be generated that lists your currant usage of the following licenses:- Provider
- Admin
- Telehealth
- Wiley Practice Planner
- Ensora eRx
- Toggle between yearly and monthly terms based on preference, then click Choose Plan to select a new plan.
- Click the Plus and Minus buttons in the Plan section to select the number of Provider (Therapist) licenses.
- Click the Add buttons in the Recommended Addons section to select Addons.
- Complete fields in the Account Details, Billing Address, and Payment Details sections, then click Pay $(Your Subscription Charge) & Subscribe to complete your subscription purchase.
- Click Organization, select Manage Subscription, then click the Manage Licenses tab.
- After a successful checkout, all User and Addon licenses that were purchased must be assigned to Staff members to set staff permissions and allow staff to use features in your plan that that require a license to access. The licenses available under the Manage License tab are determined by your subscription plan and any additional Addon licenses you purchased when you subscribed to your plan.
- You must add a staff member to your clinic before you can assign licenses to that user. Learn More: Add & Edit a Staff Member
- When you manage licenses for your clinic, you will only see licenses that are available on your subscription plan. If you need access to additional licenses, you may need to edit or change your subscription plan. Learn More: Manage Subscription & Add-Ons: For Trials & Subscriptions Starting After May 22, 2025.
- Provider License: Includes Therapist, Admin and Org Admin permissions
- Admin License: Includes Admin and Org Admin permissions.
- Telehealth License: Access to Telehealth
- Wiley License: Access to Wiley Practice Planner
- Client Portal License: Access to Client Portal
- Ensora eRx License: Access to ePrescribe with Ensora eRx
NOTE: Users who need access Telehealth, Wiley, or Ensora eRx are required to have a Provider license.
- When you assign a Provider or Admin license to a user, Staff Permissions are automatically updated for that user. You can not assign a staff permission to a user who has not been assigned a license that is associated with that permission. If a user is not assigned an Admin or Provider license, the user can be given Default Permissions and Billing Permissions.
- Review which licenses are available and how many of each license have been assigned.
- Click the Toggle buttons in the license columns to assign licenses to users.
