PERMISSIONS REQUIRED: You must have Billing Permissions.
If you have accepted a payment for a Client without applying it to an Invoice, the payment will appear under Unapplied Payments/Credits on the Ledger. See Accept Invoice Payments & Co-Payments for more information.
If you Allow Prepays on Appointments:
- Prepayments will appear under Unapplied Payments/Credits on the Ledger until an invoice has been generated for the appointment. Once the invoice has been generated, the prepayment is automatically applied to the invoice and will no longer display on under Unapplied Payments/Credits.
- If a patient prepays for an appointment and the amount of the prepayment is more than the patient is billed for on the invoice, the remaining balance of the prepayment will remain on under Unapplied Payments/Credits and can be applied to something else.
Apply an Unapplied Payment/Credit to an Invoice
- Locate Client and open Client Profile.
- Click Ledger in side menu.
- Scroll to the Unapplied Payments/Credits and Refunds section.
- Click Apply to Invoices for appropriate payment. Payment Info page displays.
- Check either Client Payment or Insurance Payment.
- Select the checkbox(es) for the Session(s) you want to apply the payment to. This will add the amount to the Payment field(s).
NOTE: Click the select all box to select all sessions.
- Click Save button.
If the payment covered an entire Invoice balance, the Invoice will then appear under the Fully Paid Invoices tab in the Client's Ledger.
