As part of the AI Session Assistant (Ensai Session Assistant) add‑on, AI In-Person automatically drafts clinically aligned progress note content once a note is created. Client consent is required before recording a session.

Record an In-Person Session

IMPORTANT: Client consent is required before recording a session. Providers assigned an AI Session Assistant license can immediately access AI Session Assistant features without completing an additional consent step. See AI Session Assistant (Ensai Session Assistant): Overview for more information.

 

If you are using AI Session Assistant (Ensai Session Assistant), client consent must be obtained before recording a session. You can stop and restart recording during the session as needed. You must end the session before the recording can be processed and added to your progress note.

You can start the recording from the Schedule, Appointment or the Agenda by clicking on the microphone icon. 

NOTE: When AI Recording Consent is set to “No – Client does not consent” in Patient Details, the microphone icon will not be displayed. If the field is set to “No consent recorded,” the provider will be prompted to confirm client consent before recording.

 

  1. Click the microphone icon and the Session recording screen will appear. 
  2. Click the Start recording button at the bottom of the screen.

     

  3. Click End when finished with session recording.

     

  4. Click Finalize to finalize the recording and return to TheraNest.

     

  5. You will receive a notification when the AI session summary is ready.

Tips & Best Practices:

  • When AI Recording Consent is set to “No – Client does not consent” in Patient Details, the microphone icon will not be displayed. If the field is set to “No consent recorded,” the provider will be prompted to confirm client consent before recording.
  • Client consent is required before recording a session.
  • Recordings are automatically deleted within 24 hours.

 

Troubleshooting

Issue Possible Cause Solution
No microphone is listed AI Session Assistant license is not assigned or client recording consent is set to "No – Client does not consent" Verify that an AI Session Assistant license is assigned and that client recording consent allows recording.
AI Summary isn't showing in the note The recording session is still open Ensure you’ve clicked End Session when your session is complete so the recording can start processing.
Progress note template doesn’t support AI Verify the progress note template contains the AI Session Summary form element.
Recording is still processing Check the time the session ended. The recording can take 3-30 minutes to process.
Connection Issue banner Internet connection issue Check the internet connection but do not close the window. The system will continue to try to connect and process the audio. 
The session will not time out as long as the recording stays in an active window (e.g. visible on your screen).
Reconnecting notice Internet connection issue Do not close the window, or the session audio will be lost. The system will continue to try to connect and process the audio.
You can open a new session in another window.

 

FAQ

Can I use my existing progress note templates?

  • You can, just make sure they include the AI Session Summary form element. If not, you can add it or use our ready-made AI Session Summary template.

Do I need to provide consent before using AI Session Assistant (Ensai Session Assistant)?

  • No. Providers assigned an AI Session Assistant license can immediately access AI Session Assistant features.

How long does it take for AI note to be ready?

  • Your AI note is generated after recording session is ended. Make sure to click End when you’re done. Once the session is ended, it can take up to 30 minutes for the note content to be ready.

How will I know when it’s ready?

  • You’ll see a small notification pop up in the upper-right corner letting you know your content is available. You will also see a notification on the agenda.

How long will the AI content be available?

  • Once your AI session summary is ready, it will remain available for you to use when creating your progress note. You don’t need to create your progress note right away.

Where do I find my AI-generated notes after the session?

  • After your session ends and the recording is processed (3-30 minutes), you'll receive a notification. Then create a progress note using a template with the AI Session Summary form element – the AI content will automatically populate in that section.
