Sync Clients & Staff with Ensora Data Collection

NOTE: In order for the following functions to appear, you must first have Ensora Data Collection enabled and synchronized with CodeMetro - Synchronize with Ensora Data Collection

 

The system has made it easier to maintain the Staff and Client lists with Ensora Data Collection! You no longer have to enter Staff and Client information separately in each system, and can now:

  • Push client/staff data from CodeMetro > Ensora Data Collection
  • Use the Sync window to create clients/staff based on what is pulled from Ensora Data Collection.

Push New Clients/Staff from CodeMetro to Ensora Data Collection:

 

For NEW Staff (does not exist in Ensora Data Collection)

 

When the Ensora Data Collection feature has been turned ON, users should see an Ensora Data Collection checkbox option in the Clinical Integration window in the staff profile as shown below. After selecting the checkbox and saving, this staff profile will get pushed and created in Ensora Data Collection.

To push staff to Ensora Data Collection, the following fields are required:

  • A valid address.
  • A valid email address - An email providing staff access to Ensora Data Collection will be sent to this address.
  • A valid phone number.

Additionally, the system will enable the Ensora Data Collection checkbox only when:

  • The Staff’s site in Ensora Data Collection has been mapped to an Agency in the system.
  • Staff has an active User Account in the system: Create a User Account for Staff

Once Staff has been integrated, any changes to the staff profile - first name, last name, email, title, etc will get updated in Ensora Data Collection automatically.

This staff integration can be DISABLED by unchecking the Ensora Data Collection Integration checkbox on the profile.

NOTE: You must set the Security Group of this new user in Ensora Data Collection before they can access and use the app. For more info, see our FAQ: Why Can't I Access Ensora Data Collection After Syncing the Staff?

For NEW Clients (does not exist in Ensora Data Collection)

When the Ensora Data Collection feature has been turned ON, users should see an Ensora Data Collection checkbox option in the Clinical Integration window in the client profile as shown below. After selecting the checkbox and saving, this staff profile will get pushed and created in Ensora Data Collection.

To push a client to Ensora Data Collection, the following fields are required:

  • The Client’s Site in Ensora Data Collection has been mapped to an Agency in CodeMetro.
  • Must indicate a Lead User/BCBA (this Staff must be in Ensora Data Collection already).
  • Diagnostic Code
  • Client contact with a valid email address
  • The client contact must have the Legal Guardian and Resides with client checkboxes selected.

Once a Client has been integrated, any changes to the Client profile - first name, last name, email, etc will get updated in Ensora Data Collection automatically.

This client integration can be DISABLED by unchecking the Ensora Data Collection Integration checkbox on the profile.

Link Existing Clients/Staff in Ensora Data Collection to CodeMetro

 

For EXISTING Clients (already exists in Ensora Data Collection)

 

If the Client has already been created in Ensora Data Collection open the Ensora Data Collection Sync window (from Settings) and click the Paper with Green Arrow icon for the Create Student & mapping option to make a Client Record in the system based on what was retrieved from Ensora Data Collection.

For EXISTING Staff (already exists in Ensora Data Collection)

If the Staff has already been created in Ensora Data Collection, open the Ensora Data Collection Sync window and click the Paper with Green Arrow icon for the Create Employee & mapping option to make a Staff Record in CodeMetro based on what was retrieved from Ensora Data Collection
