To add or edit Pay Codes in your system, we have a dedicated HR Management screen where you can set them up.

Add Pay Code

  1. Navigate to the Settings tab.
  2. Select HR Management.

  3. Click Add to add a Pay Code inside the HR Management window. A new line will be added.

  4. Select the Type on the dropdown for the new Pay Code, The types come from the Labor Types custom list. This will determine the kind of Staff that this pay code will be assigned to.

  5. Enter the Code and Name for the new pay code.
    • If this pay code will be used for Paid Time Off, check the PTO box.
    • The Overlaps Paid should only be checked if appointment overlaps of the same pay code will pay for each session. For example: If a Staff has an appointment with client A and client B at the same time and the pay code for these appointments is marked as "Overlaps Paid", they will be paid for the duration of the appointment with client A and for the duration of the appointment with client B.
    • If "Overlaps Paid" is not checked, they will only be paid by the net duration of the visit.
    • The External Coding column is used for our customers who want to integrate with payroll software that we are compatible with.
       
  6. Click the Save All button, when you are done entering the information.

NOTE: You cannot delete Pay Codes that are entered on this screen, since deleting pay codes would affect previous appointments already tied to them.  Once the Pay Codes are entered on the HR Management screen, you will be able to enter them into Staff Records to set the rates.
