Overview

PERMISSIONS:  You must have the Admin permission to turn on Appointment Requests. You must have the Scheduling permission to view appointment requests.

 

Appointment Requests allow patients and their caregivers to request appointments via the patient portal. This is an optional scheduling feature and must be enabled by a clinic administrator. Clinics control the locations, appointment types, and patient cases that are available for appointment requests. Appointment Requests also default to reflect clinic hours and schedule availability. Portal users are only able to request appointments for timeslots when then clinic is open and their therapist is available.

 

Schedulers will have access to a list of appointment requests under the Schedule tab. From here, schedulers can approve, edit, or decline appointment requests, as well as view a calendar snapshot of how each requested appointment would align with other items on the therapist's calendar surrounding that timeframe. Appointment requests also display on the calendar with diagonal stripes to indicate that an appointment for that timeframe has been requested, but not yet approved.

 

NOTE:  Schedulers will only see appointment requests for patients they have access to.

Set Up Locations & Cases for Appointment Requests

Before you turn on appointment requests, you need to configure your Location and Patient Case settings. These settings will determine what your patients will see when they are making appointment requests via the patient portal.

NOTE: If you don't see the appointment requests option, refresh the page.

 

  • Indicate which Locations will be available for Appointment Requests. Portal users will be able to see what dates and times appointments are available based on the location they select when requesting an appointment. A clinic location must be set to Allow Appointment Requests so that portal users have the option to select that location.
  • Indicate which Patient Cases will be available for Appointment Requests. For each Patient Case that will allow Appointment Requests, you will also select which visit types are available for appointment requests. Portal users must select a patient case when requesting an appointment. A patient case must be set to Allow Appointment Requests so that portal users have the option to select that case.

    NOTE: A patient must have an active patient case that allows Appointment Requests for a portal user to be able to make an appointment request for that patient.

Start Using Appointment Requests

After your locations and patient cases are set up, you can Turn on Appointment Requests for the Clinic. Patients with cases that are available for appointment requests will be able to Request an Appointment via the Patient Portal. Schedulers will be able to Approve or Deny an Appointment Request from the Appointment Request list or the calendar.
