This article provides step by step instructions on how to Enter charges.

- Click Charges.
- Select Unposted Charge Batch.
The system will populate the screen where charges can be entered in multiple ways.
Once the page opens the user will see this screen.
There are multiple options on this screen to enter charges into the system.
- Auto Generated Charge Wizard- This wizard is for charges that will generate based on the Auto Gen Profile attached to the patient’s admission. Example - Daily Room and Board Charges
- Charge Ticket Wizard-This wizard will allow the user to generate the same charge(s) on multiple patients. This can be narrowed down by Level of Care, Program or Specific Date.
- Scheduler Charge Wizard- This wizard generates charges based on approved encounters in the scheduler.
- Roster Charge Wizard- This wizard generates charges based on the patient’s attendance at a program. Examples - PHP, IOP and Education Charges.
- Import Charges- Charges can be imported from a .csv file. (Ask a system representative for additional documentation)
- Manual Add- This option allows the user to create a batch and then enter the charges manually.
Throughout this article, the six different ways to enter Charges will be explained in more detail.
Auto Generated Charge Wizard
- Click Auto Generated Charge Wizard
- From Date - First date of service to be generated.
- Thru Date - Last date of service to be generated.
- The from Date and Thru date can be any date range based on balanced and verified census dates.
- Admissions can be filtered based on the following filters:
- Service Facility- If the business unit has more than one service facility
- Level of Care- If the user wants to generate charges for a certain level of care at the facility
- Program- If the user wants to generate charges for just a certain Program at the facility
- MR-Admit- If the user wants to generate charges for one admission
(Filters are not required and should only be entered if one of the above reasons apply.)
- Click Next.
- The wizard will only stop on the No Active Programs Screen if a patient is in house without an active treatment program on the admission.
- Preview Screen
- This screen shows the user the specific charges that will be generated.
- If the user would like to have a report the user can export all Charges by clicking the Excel Dump button.
- If the user would like to have a report the user can export all Charges by clicking the Excel Dump button.
- Click Next.
- This screen shows the user the specific charges that will be generated.
- Batch Information Screen
- This screen allows the user to name the Batch Alias and Description (Example Charges 11/08/2020)

- Click Finish.
Click Finish. The Charge Batch Results screen will display, which gives the user all the totals of the charges that are in the batch.
- Close the box by clicking the X at the top corner of the box.
Close the Charge Batch Results box. it will return to the Unposted Charge Batch Screen.
- The Unposted Charge Batch screen is where the user will post the charge batch.
- The Charge batch must be balanced.
- Example- Lines must match Actual Lines, Quantity must match Actual Quantity and Amount must match Actual Amount. If for some reason the batch is not balance the user would simply click the Pencil beside the batch line to make it balance.
Charges can be viewed, updated, or deleted by clicking the Charges link.
As long as the Batch line is Balanced it will show Post Batch. If the Batch is not balanced the Post option will not be displayed.
- Click Post Batch
- Click Post Batch again in the window below
Click the second Post Batch the Batch line will then disappear off the Unposted Charge Batch Grid.
Charge Ticket Wizard
- Click Charge Ticket Wizard
- Choose Service Date
- Filters- The user can choose to filter by Level of Care or Program filters, but filtering is not required.
- Click Next.
- Click Add.
- Choose Service Code.
- Choose Provider.
- Choose Quantity.
- Click Save.
- Multiple services can be entered.
- Once all services are entered, Click Next.
- Preview Screen
- Displays all charges that will be generated.
- Quantity can be overridden.
- One or more lines can be highlighted and removed.
- Once the list is correct, Click Next.
- Batch Information Screen
- This screen allows the user to enter the Batch Alias and Description. (Example Charges 11/08/2020)

- Click Finish.
Once the user closes the Charge Batch Results box it will then take the user back to the Unposted Charge Batch Screen. The Unposted Charge Batch screen is where the user will post the charge batch. The Charge batch must be balanced.
- Example- Lines must match Actual Lines, Quantity must match Actual Quantity and Amount must match Actual Amount. If for some reason the batch is not balance the user would simply click the Pencil beside the batch line to make it balance.

Manual Charge Entry
- Click the Add Button on the Unposted Charge Batch Screen
- Batch Edit Screen
- Enter Alias (example Professional 10/2/20)
- Enter Description (example Professional 10/2/20)
- The Batch Lines, Qty, and/or Amount are not required by if known then it can be entered.
- Click Save
- Once the batch is created the system will populate an Unposted Charge Batch screen where the charges can be manually added.
- Two different ways to add Charges
- Add (one Green Plus Sign)- This option allows the user to add one charge at a time. (This function is the only option for adding charges in a closed GL Period.)Â
- Click Add
- When the Unposted Charge Maintenance box populate the user should fill in the following fields
- MR Admit
- Service
- Quantity
- Service Date
- GL Date (GL period for revenue. Must be an open GL Period)
- Provider
- Click Save
- Add (one Green Plus Sign)- This option allows the user to add one charge at a time. (This function is the only option for adding charges in a closed GL Period.)Â
Once the user Clicks save it will add the charge that was entered to the Unposted Charge Batch Box
- Multi-Add (Multiple Green Plus Signs)- This option allows the user to add more then one charge at a time. The user can only use this function for entering charges in an open GL Period.
- Click the Green Multi-Add Sign
- When the Charge box populates fill in the following fields
- MR Admit
- Service Date
- Service
- Provider
- Quantity
- Click Add
- Then start these steps over with every patient charge that is needed to be entered
- After the User has entered all the charges the user should click Save & Close
- Once the user is finished with all charges MOL will take the user back to the Unposted Charge Batch Box. The user should click the X in the right corner of the box.
- When the user clicks the close box, it will then put the user back on the Unposted Charge Batch screen. The Unposted Charge Batch screen is where the user will post the charge batch. The Charge batch must be balanced.
- Example- Lines must match Actual Lines, Quantity must match Actual Quantity and Amount must match Actual Amount. If for some reason the batch is not balance the user would simply click the Pencil beside the batch line to make it balance.
- Once the user clicks the pencil the system will populate the Batch Edit box. This screen is where the user will make sure the Batch sections match the Actual Sections as seen in the screen shots below. Once the user matches the information the user should Click Save.
- Example- Lines must match Actual Lines, Quantity must match Actual Quantity and Amount must match Actual Amount. If for some reason the batch is not balance the user would simply click the Pencil beside the batch line to make it balance.
- Once the user Balances the batch the system will populate the grid with the Post Batch option. To post the batch the user should
- Click Post Batch (on the Unposted Charge Batch screen)
- Click Post Batch
- Click Post Batch (on the Unposted Charge Batch screen)
- Once the user clicks Post Batch the charges will post to the patients account, and the batch will be no longer display the Unposted Charge Batch screen.
