Visual Bed Board - Using the Bed Board

  1. To access, go to Day to Day > Visual Bed Board.
  2. Customize your view using the checkboxes at the top.

Bed Management Wait List

The Bed Management Wait List is used to manage patients who are waiting to be admitted and to confirm bed assignments/dates for inpatient (IP) facilities.

  • All potential IP patients are placed on the Bed Management Wait List, even if it is just a formality.
  • Patients are first placed on the Bed Management Wait List by moving the chart from Intake to Waitlist, using the arrows.
  • The Bed Management Wait List can be accessed directly via Day to Day 🡪 Bed Management Wait List.
  • The Bed Management Wait List shows which patients are waiting to be admitted to a program.
  • The History tab shows patients that were previously on the Bed Management Wait List.

There are three locations where a patient will be shown as on the Bed Management Wait List.

  1. In Chart Details, the breadcrumbs on the chart show WAIT LIST (WAITING).

  2. In Bed Management Wait List, under the Status column for the patient, it will say Waiting.

  3. In My Client List, the status for a patient will display Wait List.

Reserve a Bed for a Patient

There are 2 ways to reserve a bed for a patient coming into a program.

Through Chart Details

  1. Move the patient to Admitted using the arrow.

    • This will open the Visual Bed Board for that patient.
  2. Select the green button below any open bed.

  3. To reserve the bed,
    • Select the Date Bed Offered.
    • Select the Bed Admission Date.
    • Select the Time the patient was admitted to that bed.
    • Enter the expected Length of Stay, which is the number of days from admission to discharge.
    • Select the Expected Discharge Date.
    • Select the expected Time of discharge.
    • Select the appropriate Patient Status Code from the drop-down menu.

  4. Click Save.

    • The patient is now reserved in the bed you selected.

Through the Visual Bed Board

  1. Go to Day To Day 🡪 Visual Bed Board.
  2. Use the Program and Location filters to narrow your view.
  3. Apply any other filters you want to use and click Refresh.

  4. Find the program you want to reserve your patient in.

  5. Select the green button below any open bed.

  6. Begin typing the name of the Patient you are reserving this bed for. A list of options will generate. Select the patient you want.

  7. To reserve the bed:
    • Select the Date Bed Offered.
    • Select the Bed Admission Date.
    • Select the Time the patient was admitted to that bed.
    • Enter the expected Length of Stay, which is the number of days from admission to discharge.
    • Select the Expected Discharge Date.
    • Select the expected Time of discharge.
    • Select the appropriate Patient Status Code from the drop-down menu.

  8. Click Save.

    • The patient is now reserved in the bed you selected.

Manage Bed Assignments

Admit a Patient to a Bed

To admit a patient to a bed, follow the same steps for Reserve a Bed for a Patient.

NOTE: Instead of clicking the green button below the open bed, click the blue button.

Swap Patients' Bed Assignments

Drag Patient A to Patient B and release.

Transfer a Patient to an Open Bed

To move a patient to an open bed, drag and drop patient A to an open bed.

Discharge a Patient

There are two ways to discharge a patient from the Visual Bed Board.

First Way:

  1. Click the red box in the patient’s bed.

  2. Fill out the fields for discharge.

    • Select the Actual Discharge Date.
    • Select the actual discharge Time.
    • Select the Discharge Status Code from the drop-down menu.
    • Select the Discharge Frequency from the drop-down menu.
    • Select the Discharge Reason from the drop-down menu.
    • Enter a Discharge Note.
    • Under Remove from, check to remove the patient from All groups in this program, All future group appointments, or All future individual appointments.
  3. Click Save.

  4. You will receive this warning message confirming that you want to discharge the patient’s chart. Click Yes.

Second Way:

  1. Drag the patient to the Drag patient here to discharge -> folder.

  2. Fill out the fields for discharge.

    • Select the Actual Discharge Date.
    • Select the actual discharge Time.
    • Select the Discharge Status Code from the drop-down menu.
    • Select the Discharge Frequency from the drop-down menu.
    • Select the Discharge Reason from the drop-down menu.
    • Enter a Discharge Note.
    • Under Remove from, check to remove the patient from All groups in this program, All future group appointments, or All future individual appointments.
  3. Click Save.
