Work With The Schedule: Waiting List

PERMISSIONS REQUIRED: Clinic Staff must have Administrator, Billing Manager, Billing Assistant, Front Office, Front Office Assistant, Operations Manager, PTA, Staff Therapist, Therapy Student, or Therapy Technician Permissions assigned in order to manage Schedule.

 

We understand that the Front Office is a critical function of any practice. As such, we have ensured that you can run all of your practices front office needs through the system and make it as easy as we can. This series of introductory articles will cover the important aspects of managing the Schedule.

 

Work With The Schedule: Waiting List

The Fusion Enterprise waiting list feature is more than just a list of patients waiting for an open slot we allow you to define, when, where, and with whom they wish the schedule. Click on the ‘W’ in the upper right-hand corner to bring up the waiting list.

When you open it for the first time it will be blank. Right-click on the Waiting List dialog and select ‘Add’ to add a person to the list and you will be presented with the following dialog:

Here we can specify the parameters that are needed to find a visit slot for this patient.

Add to Waiting List

Valid From

When you want the system to start looking for an appointment.

Valid For

When you want the system to stop looking for an appointment. At this time the patient would automatically drop off the waiting list.

Time of Day

The time of day you wish the system to look for an appointment in.

Days of Week

Which days of the week are acceptable.

Appointment Type

What type of appointment you wish to schedule.

Duration

How long the appointment needs to be.

Concurrent Apmts

How many other patients can be scheduled at the same time. A value of 1 indicates that this patient has to be see one on one.

Work Hour Type

What type of work hour the therapist has to have in order for it to qualify as being a good spot for this patient.

Clinic

Which clinic the patient prefers.

Therapist

Which therapist the therapist prefers, note that ANY is a choice here.

Note

You can specify a note with additional information here for your convenience.

Once these parameters are filled in and you have clicked ‘Ok’ you will be returned to the Waiting List dialog and your patient will be listed there.

The bottom left corner is a recap of all of the parameters you have entered as well as some additional contact information. On the right side are all of the qualifying time slots.

You can quickly schedule this patient by right-clicking the Available Time Slot and selecting Schedule Patient and they will automatically drop off the waiting list.

You can right-click and delete a patient from the waiting list. You will then need to provide a reason why they are being removed. A report is available that will show you all patients that were on the waiting list and ultimately what happened to them, scheduled, dropped off due to length of time on the list, deleted, etc.
