Flow Sheet: Posting Charges

Permissions Required: Clinic Staff must have Administrator, Clinical Director, PTA, Staff Therapist, Therapy Student, or Therapy Technician assigned in order to manage some of the features of the Flow Sheet.

 

Posting Charges

Clicking on Validate Charges will give you a preview of the final charge set based on what you have selected on your Flow Sheet. This charge set will show up at the bottom of the screen under Charges tab.

Before you can post your charges you must satisfy the note requirement. This requirement can vary based on your charges. If you are charging an evaluation charge then you must have an associated evaluation with this date of service. If you are charging a non-evaluation charge code then you must have a daily note completed and signed. If you are charging both types of codes then you need both types of notes. There is a N status icon at the top of the visit. A red N indicates no documentation. The orange N indicates that there is some documentation. When the note requirement has been met the N will turn green and you can post your charges.

If you feel the N should be green and it is not you can check the Doc Status in the Patient Information tab to find out what is missing.

To post the charges, right-click on the Flow Sheet and select Post Charges. At this point your charges will be posted, and the C at the top of the visit will turn green. If this is a Medicare patient you may be reminded to enter Claim Based Outcome information (PQRS / Functional Limitation Reporting). You will be given an opportunity to go record that information before actually posting the charges.

If you make changes to your Flow Sheet after you have signed and saved your note, when you Post Charges you will be prompted as follows:

This will give you the option to create a new unsigned copy of your daily note with an updated Objective section. All of the other information that you may have entered on the daily note is copied over to this new daily note. We are basically updating your daily note with the new objective information and having you resign it. You will then be given the option to keep or delete the original. There should be no reason to keep the original but you are given the option.
