After an appointment has occurred you can add a Session Note and Bill that session to Insurance or Private Pay.

IMPORTANT: We recommend that you write and bill notes from the Task List icon mceclip0.png located on the menu bar on the left.

Write a Note

  1. From your Task List, you can see all appointments that have occurred and that require notes.
  2. Select either Create Note or Copy and Create Note.

    NOTE: Copy and Create Note will copy over a previous note. This can be helpful if there are little to no changes multiple sessions in a row, then add any applicable changes.

  3. Create Note will give you the options to select Therapy (billable notes) or Collaborative (non-billable notes).

    IMPORTANT: For Therapy notes, you will not be able to save the note unless you include the start and end date and time, Service or CPT Code, location, and have a diagnosis listed.

  4. Click Save Note when completed. You will receive a notice if needed information is missing. If there are no errors, the Sign and Lock button at the top of the page will enable.

    NOTE: Notes must be Signed and Locked in order to bill.

  5. To access incomplete notes, click the Task icon, then click the Pending Notes tab. 
  6. Incomplete notes have a Red Exclamation Point.
  7. Click the Edit Pencil icon to edit note.

Bill a Note

  1. If the note has a Green Check Mark, it is compete, verified, and ready to bill.
  2. Click $ Bill to submit the claim to be added to the queue.

    NOTE: You may not see the $ Bill button if you have a supervisor. They will need to bill the appointment/note from their Management tab in the navigation bar.

  3. All claims added to the queue will process Monday through Friday at 4:30 p.m. CST.
