What is TRX Payments and how does it work?
TRX Payments is an integrated payment processing solution built into the Ensora Health platform. It allows your practice to accept credit cards directly within your practice management software. Additionally, the TRX integration enables access to alternative payment options and patient financing.
How do I sign up for payment processing with Ensora Health?

How long does the approval process take?
Most merchant applications move from approved to boarded within 24–72 hours.
What information do I need to provide to set up my merchant account?
You will need to provide your business legal name and DBA, Federal Tax ID (EIN), business address and contact information (phone number and email), your bank account and routing number provided via an image of a voided check and a copy of your ID.
Collection Patient Payments
How do I process patient payments?
For processing patient payments, use Ensora Payments in MCP 2.0. Your TRX Dashboard can be reviewed for transactions processed and additional reporting.
Can I process payments for multiple clinic locations under one account?
Yes. TRX Services supports multi-location practices. Each location can be set up as a separate merchant account or configured under a parent account structure, depending on your reporting and reconciliation preferences. Contact your account representative to configure the right setup for your organization.
What payment types can my practice accept?
Through Ensora Payments you can accept Visa, Mastercard, American Express, and Discover.
Fees, Pricing & Settlement
How does pricing work for payment processing?
Ensora Payments uses transparent, competitive pricing through TRX Services. Your processing rate with Vantage will transfer to TRX. There are currently no monthly minimums.
How do I know when my funds have been deposited?
You can monitor settlement activity through the Batch Report and Summary Report in the TRX Portal Reporting tab. Deposits will appear in your linked bank account according to your settlement schedule. Contact your bank if a deposit does not appear within the expected timeframe.
What is a chargeback, and what happens if I receive one?
A chargeback occurs when a patient or cardholder disputes a transaction with their bank. When a chargeback is initiated, the disputed funds are temporarily held or reversed. You will be notified and given the opportunity to provide documentation to contest the dispute. Use the Disputes/Returns Report in the Manage Portal to monitor and respond to chargebacks.
How do I contest a chargeback?
Gather supporting documentation such as signed consent forms, appointment records, payment receipts, and communication logs. Submit your rebuttal through the process outlined by TRX Services’ support. Providing thorough documentation improves your chances of a favorable outcome. Tip: Collecting patient signatures at the time of service and storing authorization records can significantly strengthen your position in a dispute.
Security and Compliance
Is Ensora Payments PCI compliant?
Yes. TRX Services maintains PCI DSS (Payment Card Industry Data Security Standard) compliance. All transactions are encrypted and processed through a secure, certified environment. Your practice does not store raw cardholder data — payment information is tokenized to protect your patients.
Is it safe to store patient payment methods on file?
Yes. Stored payment methods are securely tokenized through TRX Services' StorageSafe. A token - not the actual card number - is stored and used for future transactions. This means sensitive card data is never held within the Ensora platform or your practice systems.
Does accepting payments affect our HIPAA compliance?
Payment data (cardholder information) is governed by PCI DSS, while patient health information is governed by HIPAA. TRX Services handles the payment processing environment under PCI standards. Your practice is responsible for ensuring that patient billing records and health information are managed in accordance with HIPAA requirements within the Ensora platform.
Do I need to do anything to maintain PCI compliance as a merchant?
Yes. You may be required to complete an annual PCI Self-Assessment Questionnaire (SAQ) and, in some cases, quarterly network scans. TRX Services will provide guidance on your specific compliance requirements. Keeping your systems updated and following best practices for cardholder data handling are essential ongoing responsibilities.
Terminals and Hardware
Do I need a physical terminal to accept payments?
No. You can process card-not-present payments entirely within the Ensora Health software using a keyboard entry.
What terminals are compatible with Ensora Payments?
Your account representative can advise on hardware for your practice setup.
Support and Troubleshooting
Who do I contact if I have a problem with a payment or my account?
For payment processing issues, including transaction errors, settlement questions, terminal problems, or chargeback responses, contact TRX Support directly at support@trxservices.com. For issues within the Ensora Health platform, such as billing reconciliation, contact Ensora Health Payments Support at payments.support@ensorahealth.com.
Is support available outside of business hours?
TRX Services provides support Monday – Friday, 8:00 AM – 8:00 PM EST. For urgent after-hours issues, refer to the emergency contact information provided in your merchant welcome materials or account agreement.
