PERMISSIONS: Clinic Staff must have Administrator, Billing Manager, Billing Assistant, Front Desk, or Operations Manager Permissions assigned in order to manage Transactions.

 

Introduction to Menu Options

The right-click menu is sensitive to what is selected in the ledger.  The menu will change slightly when you have a Visit, Charge, or Transaction selected.

Right-clicking when a Visit is selected produces the following menu:

There are many options on this menu.  Here is a breakdown of each option and its functions.

Visit Menu

Expand Charges Expands all Date of Service (DOS) to show all charges.
Expand Transactions Expands to show all Transactions for the selected visit.
Expand All Expands the grid completely.
Collapse All Collapses the grid completely, only showing DOS.
Add Charge Adds a charge to the currently selected visit.
Set Invoice State Allows you to change the invoice state the visit represented in the claim.
Adjust Visit Balance Adjusts the balance of the visit to the set dollar amount by creating a set of adjustments.
Add Per Diem Transaction Allows you to input a single dollar amount that the system will then spread across all charges in the visit.
Apply Patient Payments Allows you to apply money to visits and charges from the unapplied patient payment money.  The option is greyed-out when there is no unapplied money, or if there are no charges to which money can be applied.
Add Patient Refund Allows you to refund money to the patient from the unapplied patient payments.  The Option is greyed-out when there is no unapplied patient money.
Set Doc Level Allows you to set the Doc Level for this visit.  
Edit Visit Auxiliary Info Used for adding a Claim Submission Reason Code, Delay Reason Code, or Original Reference Number.  This is used only on 837s.  For more information on Editing Visit Auxiliary Information check out this helpful article: Edit Visit Auxiliary Information
Add Non-Treatment Charge Adds a charge to a DOS that has not been added to the Schedule.
Reports Opens to the Reports submenu.
Reports > View Transaction Summary Shows a complete list of transactions for every line item and every DOS.
Reports > View Claim Summary Two options for viewing - Historical Claims or Report.  Historical Claims opens the Historical tab in Claim Generation and populates the sent claims.  The report displays a list of all claims that have been sent out for this case.  Claims may then be viewed as HCFAs/CMS-1500s
Reports > View Statement Summary Opens the Statement Generation dialog and populates the sent statements.
Reports > View Patient Refunds Opens Refunds report specific to the patient.  Allows you to Edit/Delete refunds.
Reports > View Patient Payments Opens report showing patient payments information.
Notes Opens a submenu for choice of Transaction, Payment, Visit, Case, Billing, or Reminder note.
Open Case Opens the Case for the patient.
Additional Info > Case Opens a floating window containing case-specific information.
Refresh Checks for updated information and displays the latest data.
Close Closes dialog.
