Set Up Parent Portal

This document is to show the user how to access and use the Parent Portal Setting Page. This is to be used with our Parent Portal which will give parents access to their client’s schedules in the system. If you would like to use the Parent Portal feature, please contact codemetro.support@ensorahealth.com to have it enabled.

Set Up Parent Portal Settings

To access the Parent Portal Settings page, please begin on your main screen.

  1. Select the Settings tab.

  2. Click the Parent Portal tab.

  3. The Parent Portal Settings will be displayed. Here you can set the rules for what Parent Portal users will see when they login to view their client’s schedule. See below for details on each section.

    NOTE: If you have questions about any of the Parent Portal Settings, please click on the Question Mark(?) icon located on the top right of the page. This will display information about each portion of the settings page.

  4. Click Save in the lower right corner to save your settings.

    NOTE: To close the window without saving any changes, you can click on the X at the top right of the page.

Work Week Settings

These settings control what constitutes the start/end of your practice's 'week'.

  • Work week start day - Here you can determine the starting day of the work week you’d like the parents to view.

    NOTE: The work week start day and end date cannot be the same day. (Example: the work week can be Sunday through Saturday, but cannot be Sunday through Sunday)

  • Work week end day - Here you can determine the ending day of the work week you’d like the parents to view.
  • Client can view current week and - Allows you to set the number of work weeks in the past and future the user can view in the Parent Portal.
    • X full work week(s) in the past - This is the number of work weeks prior to the current work week.
    • X full work week(s) in the future - This is the number of work weeks after the current work week.

      Example: Set to 1 week in the past and 1 week in the future, and the work week is Sunday through Saturday. If the Client logs into the Parent Portal on Wednesday, March 14th, then they will be able to view Sunday, March 4th to Saturday, March 24th.


Client Masking Options

Here you can determine how the client’s name will be displayed when the parent views the schedule.

  • No Masking, Show full client name - This will allow the client’s full name to be displayed.
  • Show first 3 letters of the first name & first 3 letters of the last name - Example: The client John Smith’s name would be displayed JohSmi.
  • Show first 2 letters of first name, first 2 letters of last name, & client birth year - Example: The client Jane Doe, with the birth year of 1983, will have her name displayed as JaDo1983.


Type of Appointments

Finally, let's review the Types of appointments the parent will be able to view.

NOTE: Active direct service appointments will always be displayed in the Parent Portal.

  • Hide by default - This option will allow for these 3 types of appointments to be hidden from Parent Portal users.
    • Indirect appointments - Indirect appointments can be hidden from the user’s view if the appointment’s Direct/Indirect Status is set to Indirect.

      NOTE: Any appointments that do not have a Direct/Indirect status default to Indirect. 

    • Canceled appointments - Here you can hide appointments with canceled appointment status types.
    • Gray appointments (no payroll, non-service) - You can also choose to hide gray appointments in the Parent Portal.

Be sure to either Save or Cancel your changes using the buttons in the lower-right corner of the settings window.
