During Phase 2 (Weeks 3, 4, & 5), we will:

  • Review your Business Process Review to confirm our team has a good understanding of it. Our team will provide suggestions on improving workflows with eCR.
  • Create your Programs and Facilities in eCR laying the foundation for your implementation.
  • Create Users, user set up, access levels, credentials, organization chart, and user billing rules.

 

WEEK 3

This week, we will go over our Business Process Review results and give you best practice suggestions. We will also be setting up your Programs and Facilities based on billing needs.

Homework to complete PRIOR to our call:

  • Ensure all Core team members can log into eCR.
  • Provide a copy of all processes, forms, and reports to your Project Manager to prepare for setup.

During this call we will:

  • Review your Business Process Review to ensure we fully understand your processes.
  • Give you best practices and improved workflows with eCR.

Who will attend? Customer Core Team 

During this call we will:

  • Review all your Programs and show you step by step how to create a Program in eCR. Our goal is to teach you how to create as many programs as you may need for your agency.
  • Review how to set up Facilities and locations within eCR.

Homework to complete PRIOR TO THE NEXT call:

  • Review Programs and Facility Setup (articles Kat?) - 
  • Finish creating Programs and Facilities for your Agency (their goal is to complete this by the end of the phase) 
  • Review foundation articles – Access Levels, Credentials, User Billing Rules and User Setup 

 

 

WEEK 4

This week, we will be reviewing and setting up your User Foundations, access levels, credentials, organizational chart, and overall general user setup.

Homework to complete PRIOR to our call:

  • Ensure that the setup of Programs and Facilities is complete. Bring a list of questions that you may have. You can also refer to the Knowledge Vault for How-To articles.

Who will attend? 

During this call we will:

  • Review all User setup, what Access Levels are and how to set them up for your internal team based on job description.
  • Review Credentials in eCR, how that relates to setup and what each team member can do in the system.
  • Set up your internal Organization Chart based on signing notes and how this relates to billing.

Homework to complete PRIOR TO THE NEXT call:

  • Complete the setup of your User Access Levels, Credentials, Organization Chart and other rules discussed in the previous call.

 

 

WEEK 5

This week, we will begin setting up diagnosis codes in eCR, based on your needs. We will also be working on setting up any required interfaces such as labs and clearinghouses.

  • Ensure that the setup of Programs and Facilities is complete. Bring a list of questions that you may have. You can also refer to the Knowledge Vault for How-To articles.

Who will attend? Customer Core Team

During this call we will:

  • Review the diagnosis codes in eCR and their setup.
  • Review all setup completed to this point.
  • Q&A work session for any questions you may have so far.
  • Check on any interfaces and development that has been started such as lab interfaces and clearinghouse setup.

Homework to complete PRIOR TO THE NEXT call:

  • Continue all setup for Phase 2 until completed.

Who will attend? Customer Core Team

During this call we will:

  • Wrap up Phase 2 and ensure all setup has been completed to this point!
  • If needed, this call can be used as an additional work session to complete any remaining setup.
  • If all setup has been completed already, we will review the project plan and prepare for Phase 3 - Framing eCR.

Homework to complete PRIOR TO THE NEXT call:

  • Finish any remaining Phase 2 setup. 
  • Review Phase 3 articles - Billing and Program Defaults. (These are line 13–33 in the Zendesk articles tab)

 

Phase 2 Checklist – Ensure the following items have been completed by the end of Phase 2: 

  1. All Phase 1 items.
    • Complete Customer Contact Sheet.
    • Ensure the Core Team can log into the Beta environment. 
    • Review Phase 1 articles and videos in the Knowledge Vault. 
    • Send 837 files.  
    • Ensure your Project Manager has your lab information.
    • Review the forms and reports checklist. 
  2. Complete setup of the following: 
    • Programs and Facilities 
    • User Access Levels 
    • User Credentials 
    • Organizational Chart 
    • User Billing Rules 
    • User Setup 
  3. If using FormLab, ensure your Project Manager knows who the Licensees will be.  
  4. Review Phase 3 articles and videos in the Knowledge Vault.
