Hello and welcome!

We are so excited to have you as our customer. Over the next 20 weeks, we will be covering all the areas needed to implement your eCR environment. Your implementation is broken down into 7 Phases. Each Phase will cover critical areas of setup and items you will be tasked with to complete. Your Project Manager will guide you through each Phase and help ensure all required tasks are completed. You will also have the Knowledge Vault to refer to with step-by-step instructions and videos. 

Let’s take a peek at what the next 20 weeks will look like!

Phase 1 - Introduction and Initial Setup

Attendees: Core Team Members, Executive Team 
Weeks 1-2
During Phase 1, we will:

  • Introduce our team to yours and review, at a high level, what your implementation will look like. 
  • During our Business Process Review, our team will do a deep dive into your business processes to ensure a full understanding of your needs and help you design practices that will improve your workflows with eCR.
  • Give you a First Use look at general eCR navigation and overall use.

Phase 2 - Helping you build your Foundations of eCR

Attendees: Core Team Members
Weeks 3-5
During Phase 2, we will:

  • Review your Business Process Review to confirm our team has a good understanding of it. Our team will provide suggestions on improving workflows with eCR.
  • Create your Programs and Facilities in eCR laying the foundation for your implementation.
  • Create Users, user set up, access levels, credentials, organization chart, and user billing rules.

Phase 3 - Helping you frame your eCR

Attendees: Core Team Members, Billing Team
Weeks 6-7 
During Phase 3, we will: 

  • Review your Billing Program Defaults tabs
  • Review and create forms using FormLab 
  • Create your Chart Structure

Phase 4 - Helping you build eCR and Finalizing Setup 

Attendees: Core Team Members, Billing Team 
Weeks 8-10
During Phase 4, we will:

  • Create the Insurances, Procedures, and Visit types according to your billing needs.
  • Review Clinic Options and the Compliance Center for your Agency.
  • Setup your Scheduler and your Groups.

Phase 5 - Helping you Test your Build in eCR

Attendees: Core Team Members 
Weeks 11-13
During Phase 5, we will: 
- Test the chart structure and billing setup

  • Beta Freeze Prep

Phase 6 - Creating your Beta Freeze and Go Live Prep

Attendees: Core Team Members with specific trainings to include Providers
Weeks 14-19
During Phase 6, we will:

  • Freeze your Beta environment in preparations for your Live environment creation.
  • Provide training in things such as our EPrescribing, Patient Portal and Alert Manager among others.
  • Test your newly created Live environment and prepare for Go Live.

  • Beta Freeze Prep and How to Train your End Users
  • Patient Portal
  • Alert Manager
  • Doctor First 
  • Power BI

Phase 7 - Helping you Go Live with eCR! 

Attendees: Core Team Members 
Week 20 
During Phase 7, we will:

  • Work your Go Live and provide either on-site or virtual support for you as you guide your team through their first days using eCR.
  • Provide a warm hand-off to our Support Team who will be assisting you now that you are Live.
  • Wrap up Implementation.
