Front Desk Module - Using the Front Desk Module

The Front Desk Module functions the same way as the Show All Appointments screen in Scheduler with the added filters that allows you to drill down to appointments by Location and Program.

  1. Select the “subject” you will be searching for from the drop-down. You can choose from Clients, Groups, Supervision, Meeting, School Rotation, Sr Staff, or Individual Psychotherapy. For our example we will look at a patient’s appointments, so we will leave the drop-down at Clients.

  2. Once you have selected your “subject” click in the text box to the right and hit “Enter” on your keyboard to open the list of available Clients or whichever “subject” you selected, OR you can begin typing a name and scroll from there. Once you find your “subject” you wish to view appointments for, select it and it will populate in the text box with additional details.

  3. Location- Select from the location drop-down list to only see appointments from the selected location for the previously selected “subject”.
  4. Program- Select from the program drop-down list to only see appointments from the selected program for the previously selected “subject”.

  5. Show Appointments- In this drop-down you can choose what appointments you want to see. You will see that in the top left it will say “Front Desk”,  “Current” or whichever filter you have selected.
  • Current- Select current to only see current appointments.

  • Past- Select past to only see appointments that occurred in the past (prior to today’s date).

  • All- Select to see all appointments (past, current, and future).

  • By Day- Select to add a filter that allows you to only see appointments for a specific day.

  • By Day and Time- Select to add filters that allows you to only see appointments for a specific day and between specific times on that day.

  • By Date- Select to add filters that allows you to only see appointments that occurred between a specified date range.

  • Refresh- Once you have selected your “subject” and applied all your filters, click the Refresh button to show your search results in the table below.

  • Row Count- The Row Count will display how many appointments appear in the table below.

  • Print- Once your results appear you can print the list of appointments by clicking the print button.
  • Note- When viewing appointments for a Client/Patient you have the ability to view/act on/add any patient notes by clicking the Notes button (ONLY appears for a Client/Patient).

  • New Appointment- If you want to create a new appointment for the selected “subject” you can click the New Appointment button and a Next Available Slots screen will pop-up. From this screen you can change the Resource and filter by a date range and availability type.

Once you have all your filters set double-click on the time slot you wish to schedule the appointment in (this will open the Appointment screen).

  1. Select the “subject” (once you select the subject the Chart and Location will populate).
  2. Select an appropriate Visit Type.
  3. Click Save to finally create the appointment.
