Prevent Billing Without a Clinical Note

An agency may decide, for auditing purposes, to keep services from being billed unless clinical documentation has been completed for the service. Procentive is able to check for clinical documentation prior to billing a service. However, you will want to make sure that an organizational process is well established before updating your settings. It will cause a halt in billing and cash flow if staff are not ready for this change.

NOTE: The system has two options that may be turned on to prevent service lines from being billed without clinical notes. Both settings are located in the Settings Module > Billing tab > Require notes drop-down menu.

Best Practice

Have a process in place and give staff at least one month to get familiar with the new process before actually turning on the setting.

 

Change Require Notes Setting

  1. Click Settings Module > Billing.
  2. Scroll to the drop-down: Require notes.

  3. Choose the option of your choice. Read below for a description on each option.
  4. Scroll to the bottom.
  5. Click Change
  6. Log off and log back into for this new setting to take effect.

 

Require Notes: Never

This is the default setting. It means that the system does not require clinical documentation to be attached to a service line in order for that service line to be billed.

 

Require Notes: At Billing

Choosing this option will require each service line to have clinical documentation attached to it in order to bill, otherwise it will error in the Billing Module.

NOTE: This option does not require that the clinical documentation be signed and/or completed, only that it be attached. It would be up to the clinician to determine that the note has been completed.

 

Require Notes: Require Audit-Ready Note

Choosing this option will require that each service line has clinical documentation attached to it that is marked as Audit Ready in order to be billed.

Service lines without an Audit Ready note will receive this error during the billing process.

NOTE: This option does not require that the note be signed and completed.  It would be up to the supervisor or director to determine that the note has been completed.
