The waiting room allows session hosts to control who is joining the session and provides a welcoming environment for session participants who are waiting to join. Read on to learn more about the waiting room functionality.

Prerequisites

Your agency must be subscribed to the system's Thera-LINK telehealth integration. 

 

Connect to the Video Session as a Host or Participant

  1. Join the session using your unique URL.
  2. Review your camera and mic settings, and test your network connection if desired.
  3. Click the I'm Ready! button.

 

Admit Participants from the Waiting Room

As a host, you will skip the waiting room and enter the session room immediately. You will see the text Session Room followed by a list of the attendees for the session. From the session room you will be able to admit participants into the session room once they are in the waiting room. 

  1. Look for the Admit button next to attendee names in the participant list.
    • If your sound is on, a doorbell sound will play to signify a participant has joined the waiting room.
  2. Click Admit to let the attendee into the session.

 

Join a session as a participant

As a participant, once you click I'm Ready! you will be in the waiting room. You will see the waiting room image and welcome text. All you have to do is wait! When your provider lets you in, you will automatically join the session.

 

Attendee Statuses

The attendees list has statuses to let you know what's going on with other users in the session.

NOTE: Hosts can see everyone's status, but participants can only see their own status and the status of the host.

Status Color Description
Invited: Not Connected Gray The participant hasn’t opened the session page.
Invited: Connecting Orange The participant has opened the session page but hasn't clicked the I'm Ready! button yet.
Invited: Device Error Red The participant experienced an error trying to load the camera / microphone selection.
Invited: Connection Error Red The participant experienced an error when they clicked the I'm Ready! button on the camera / microphone selection screen.
Invited: Waiting on Session Orange The participant has clicked the I'm Ready! button and is in the waiting room. The host has not joined the session.
Waiting Room: Click to Join Orange

The participant has clicked the I'm Ready! button and is in the waiting room. The host is in session room. 

NOTE: This status is visible to the host only

Waiting Room: Connected Orange

The participant has clicked the I'm Ready! button and is in the waiting room. The host is in the session room. 

NOTE: this is visible to the participant only

Waiting Room: Asking to Join Orange The host has clicked the Admit button for the participant to let them join the session but the participant’s device hasn’t confirmed it received the request yet.
Waiting Room: Joining Orange The participant’s device has confirmed it received the request to join the session, but it hasn’t finished joining yet.
Waiting Room: Connected Green The host has joined the session but has not yet let anyone into the session.
Connected Green The participant has initiated the process to publish* and subscribe** to the session. As long as one of the following errors don’t occur, they are “in the session”.
Error Publishing Red The participant wasn’t able to publish* to the session.
Error Subscribing Red The participant wasn’t able to subscribe** to the session.

*Publishing refers to your computer sending video and audio to the session.
**Subscribing refers to your computer receiving other attendees' video and audio through the session.
