Create a Staff Profile for an Auditor

Overview

When your agency is being audited, you'll need to set up a staff profile for that auditor so they can view the clinical records for your clients.
 

Prerequisite

Before creating the Auditor's staff profile, confirm in that you have the Auditor role set up in your database by going to the Staff module > Add > Role tab > Edit Roles link. 

  • If you don't see Auditor in the list of roles on the top left, please contact customer support to add this for you.

Create an Auditor's Staff Profile:

  1. Create a new staff profile for the Auditor, using the Auditor's name. For HIPAA compliance reasons, we advise against using a generic staff name.
    • In the Staff tab, enter the following information:
      • First name
      • Last name
      • Gender
      • Position: Auditor (highly recommended)
      • Username
      • Temporary password
      • Require Password Change on next logon: No
    • In Role tab, enter the following information:
      • Role: Auditor
      • Type: Administration
    • Click Save.
  2. Associate the auditor staff with the clients that they'll be reviewing.
    • Go to the Clients module > Staff tab > click the pick list button pick list.png > search for the auditor staff > OK > check the box in the Active column > Save.
  3. Once the auditor has completed their audit & no longer needs access, remove the Auditor role from the auditor's staff profile & make them inactive.

NOTE: If there are special circumstances that require the auditor to have additional access, please contact customer support to assist you with setting this up.

 

Inactivate the Auditor's Access

Once the auditor has completed their audit & no longer needs access, immediately remove the Auditor role from the auditor's staff profile & make them inactive.
