Admin Tasks to Complete Prior to ePrescribing with Ensora eRx

There are several tasks for the system admin to confirm are complete in the application to ensure the prescriber's registration goes smoothly and your organization is ready to ePrescribe. When configuring prescribers manually, you will need a list of their NPI numbers available, and if applicable their DEA numbers, to complete these tasks.

Configure the Staff Profile

Navigate to Configuration - Staff/Users > Staff > Profile. configure_newcrop_staff_profile.png

Enter the prescriber's Individual NPI number in the correct format.

NOTE: This must be the provider's Individual NPI number.

  • In the Default NPI field, ensure the NPI number is entered in the correct format:
  • 10 numeric characters, no dashes, dots or spaces.

Enter the prescriber's DEA number in the correct format.

NOTE: The DEA number is required for the prescriber to register to prescribe controlled substances. It is not required to register for e-Prescribing only (without controlled substances).

  • Navigate to Configuration - Staff/Users > Staff > Profile tab.
  • In the DEA Number field, ensure the DEA number is entered in the correct format:
    • 2 alpha characters first followed by 7 numeric characters, no dashes, dots or spaces.
    • The 2 alpha characters are always in all caps.
    • EXAMPLE: AB1234567
      NOTE: The system requires an alpha character in the fist position, and the field must contain exactly 9 characters or the SAVE button is not enabled, even when all required fields are completed.
  • Do not enter their XDEA number in this field.
    • Their XDEA number will be added directly into NewCrop.

Configure the Third Party Integrations > E-PRESCRIBING Screen

Navigate to Configuration - Setup > Third Party Integrations and select the E-PRESCRIBING tab.

1. The Service Provider section determines if e-Prescribing is turned on or off.

  • Do not change the radio button settings while working on your agency's NewCrop registration.
  • Doing so could disable your DrFirst Integration.

2. The eRx and DRFIRST tabs indicate which configuration screen is currently displayed. The horizontal orange line indicates the current selection.

3. Location/Service Facility - Select the default location that should be sent from the EHR to eRx.

  • An Organization or Service Facility type may be selected.
  • The selected location must have a phone and fax number defined in Configuration - Setup > Organizations.
  • A warning displays on the page if the selected location is missing a Phone or Fax number and SAVE is disabled.

4. In the Client Address section, select the address types that should NOT be sent to eRx.

  • The most recently updated active address of the non-excluded types is sent.
  • If no address types are excluded, the most recently updated active address of any type is sent. 

5. Select the Help icon, question mark, to view a list of ePrescribe Staff Account Roles and descriptions.

Prescribing Roles Non-Prescribing Roles Mixed Roles
  • Prescribing Doctor
  • Prescribing NP or PA
  • NP or PA under Doctor
  • Staff assisting Prescriber NP, PA, or Doctor
  • Nurse prescribing on behalf of Midlevel or Doctor
    • Can prescribed non-controlled substances
    • Cannot prescribe controlled substances

6. Staff Accounts - Use the Staff and Role drop-down fields to select the Staff name and their prescribing role.

  • When both fields are populated, the + ADD button is enabled.
  • Selecting + ADD clears the Staff and Role fields and populated the Staff list below.
  • Use the delete icon (blue trash can) to the right of the Role to remove that Staff's record.
  • Staff who are permitted to e-Prescribe using NewCrop must be added AND assigned a prescribing Role before they can register their individual accounts with NewCrop.

An icon will display to the right of the Role text if the staff's Default NPI or DEA Number is missing on their Profile tab.

Hovering over the icon displays the following message - A "DEA Number" is necessary to prescribe controlled substances

  • When displayed, the associated Staff does not have a DEA Number entered on their Staff > Profile tab.
  • This is ok if the Staff will register as e-Prescribe only.
  • This does NOT disable the Launch eRx button in Accounts and Preferences > E-PRESCRIBING.

Hovering over the icon displays the following message - Prescriber Staff require a "Default NPI" in order to register.

  • When displayed, the associated Staff is missing the Default NPI on their Staff > Profile tab.
  • Default NPI is required for registration.
  • The Launch eRx button is disabled in Accounts and Preferences > E-PRESCRIBING until the staff' NPI is entered.
 

VHR Timeline Configuration

A new Medication form is added to the Medications category on the VHR Timeline during the upgrade. Clinicians, nurses, and other staff will launch the ePrescribe software with the currently selected client in focus by selecting this form's "new" button (green plus "+") on the Timeline. By default, access is not granted to any User Group during the upgrade process.

Grant User Group Category (form) Access

  • Navigate to Configuration - Client Chart > VHR Timeline
  • Click on the MEDICATIONS header
  • Locate the Medication category row
  • Select the checkbox for each User Group that should have access
  • Select Save to record your selections

 

Review Category Depictions

Once your agency migrates to ePrescribe with Ensora eRx, the medications display on the Medication row of the VHR Timeline. Three category depictions are added when the Medication category is created. You should review and update as needed to ensure that these depictions meet your agency's needs. A description of each status is listed below.

  • Pending - Shows medications with a status of Pending
  • Active - Shows medications with a status of Completed
  • Discontinued - Shows medications with a status of Archived or Hidden
