Web users may encounter an error about restrictions in effect on their computer when trying to upload or download files to/from the system.
This is because the system behaves like a remote computer running inside your web browser - files must be added to & downloaded from the correct location to avoid this error.

The steps below will demonstrate how to avoid this restriction - typically this issue is more common on Mac computers or fleet devices managed by an IT administrator that may have extra protections.

File Management

First we will review the general functions of  the system's file management system.
Locate and click the grey transparent down arrow at the top-center of the browser window to expand the system’s Upload/Download options.

When the Upload/Download options expand, you will see three additional buttons:

  • Up - Upload files to the Web session.
  • Down - Download files to your device.
  • Up & Down - Upload, view files currently added to the Web session, and download files to device.

Uploading Files

Uploading files to the system consists of a 2-step process:
First upload the files to the session.
Then attach those files to a specific record, such as for Client Photos, Notes & Issues, etc.

Note: Any files you upload that are not attached to a record will be erased once the system is closed.

  1. The easiest way to add files to your system’s session is to drag and drop the files from your computer directly into the web browser window - if the upload is successful, skip to Step 5.

  2. Another way is by clicking the left-hand cloud icon (with the Up arrow).

  3. Clicking it will open a window. allowing you to see the files on your actual computer.

  4. Choose the file you want to upload to the system here.

Note: If you are on a Mac, check that you are in your Mac's "Finder" when choosing files (the screenshot is for Windows' equivalent File Explorer).

  5. Once a file has been uploaded to the session, you can attach it to various records.
  6. The example below demonstrates adding an attachment to a client's Notes & Issues:

  7. Clicking "Add" will open a File Explorer window.
  8. Locate the drive to the left labeled WebFile.

The WebFile contains all documents that have been uploaded to the system during this session.
You can also view what's in the WebFile by clicking the Up/Down button at the top of the browser window (more info on this function at the bottom of the article).

Note: Once you exit the session, all documents in the WebFile will be deleted - it is a temporary container.

  9. Select the file you would like to use and click Open.
  10. The document will now be attached and you can Save the record.

Downloading Files

  1. If you need to download a file or attachment from the system, click on the attachment you want to download.

  2. The file should begin to either:
    • Download automatically - if this happens you do not need to follow the rest of the steps.
    • Ask you where on your computer to Save the file to - if not prompted, files will be downloaded to your computer's default Downloads folder.
    • Open inside the system.

  3. If the file opens, use the Save or Save As option.

  4. Select the WebFile folder, name the file, and click Save.

  5. After a file has been saved to the WebFile drive, you can download it to your actual computer by clicking the From Server to PC option at the top.

  6. Make sure to select the WebFile drive in the left pane again to locate your file to download.

The Web File Manager (WebFile)

You can also use the File Manager feature to download and upload files for the system as well.

  1. Begin by clicking on the Up/Down button at the top of the web browser window.

  2. In the lower right corner, you will now see the File Manager window.
Clicking on files displayed will allow you to either view or download the file.
You can also click on the upper portion or drag files directly into the browser window, and if successfully uploaded will be displayed here.
This window shows what is contained in your WebFile drive, and these files are deleted once you exit the system.
