Unsigned Clones

When a form is signed it is locked and may not be changed. There are times when a correction is desirable and necessary. By selecting the Open Unsigned Clone feature a new copy of the form will be created and the signature field will be cleared. It will then be possible to edit this form and resign; however, the signature date will reflect the time of this second signing. You may choose to delete the original or keep it as proof of when the original data was entered.

 

When To Delete the Original

For instance, let us assume you do an evaluation. Several weeks go by and you are getting ready to do a re-evaluation and you realize you transposed a number. It would be possible to create an unsigned clone, fix the number, and then keep the original to prove that you did indeed do the evaluation in a timely fashion.

In our second scenario, let us assume you did an evaluation, signed it, saved it, and immediately realized that you forgot to include the plan text. You could create an unsigned clone, resign the evaluation and then delete the original since hardly any time has passed from the original to the clone.

As with all documentation, use your professional judgment as to when you should keep the original and when you can simply discard it.
