Please review and complete the following items to help you get your account setup to ensure proper workflows in the system.

NOTE: Throughout the system you will see a CMS icon. These fields populate on the electronic claim form and are required to bill insurance. 

 

Update Your Staff Profile 

  • Set up My Profile 
    1. Click your Name in the top right corner and select My Profile and Settings 
    2. Update your profile information 
    3. Select your Default Location 
    4. Select your Default Note Type 
    5. Enter your individual Provider NPI 
    6. Click Save

Calendar Preferences and Availability 

All users must set up their own Calendar Preferences and Availability 

  • Set up your Calendar Preferences 
    1. Click your Name in the top right corner and select My Profile and Settings 
    2. Click the Preferences tab 
    3. Select your Time Zone 
    4. Scroll down to the Calendar Appearance Preferences section 
    5. Set your default preferences for your calendar. This will determine how your calendar will display.  
    6. Click Save  
  • Set up your Availability Preferences 
    Setting your availability will gray out times you are unavailable. This visual indicator is available in the Staff view of the schedule.  
    1. Click your Name in the top right corner and select My Profile and Settings 
    2. Click the Preferences tab 
    3. Scroll down to the Calendar Appearance Preferences section 
    4. Set your Availability preferences 
      • Standard Availability* can be set on the right side of the screen. Select the days and times you are available - choose a start time and end time for each day.  
      • Advanced Availability
        • Advanced Availability allows you to specify the services you are available for scheduling at specific times and locations. Once enabled, you need to add your availability from the Schedule before appointments can be scheduled with you. You can add single availability blocks and repeating availability blocks. 
          *Must choose either Standard Availability or Advanced Availability 
      • Add Availability Blocks - Advanced Availability only 
        • Click Schedule from the side navigation and click the Availability tab. 
        • Click +New Availability from the New Appointment drop-down menu. 
        • Enter information in the Add Availability pop-up for Single Block or Repeating Block
    5. Click Save

Client Setup 

  • Update imported Clients 
    1. Click Clients in the navigation bar, then select All Clients from the drop-down. 
    2. Scroll to or search for the Client
    3. Click Client Name to open Client Details.  
    4. Ensure the following items are added in the client’s Details tab 
      • First and Last name 
      • Client ID number 
      • Home/Mobile number 
      • Address (State is a 2 letter abbreviation only) 
      • Date of Birth 
      • Legal Sex (must match what is on file with the insurance company) 
    5. Click Save 
  • Add new Clients 
    1. Click Clients tab in the primary navigation bar 
    2. Click +Add New Client 
    3. Enter the Add New Client details 
      • First name 
      • Last name 
      • Location 
    4. Ensure the following items are added in the client’s Details tab 
      • First and Last name 
      • Client ID number 
      • Home/Mobile number 
      • Address (State is a 2 letter abbreviation only) 
      • Date of Birth 
      • Legal Sex (must match what is on file with the insurance company) 
    5. Click Save

Schedule your Appointments 

  • Create a Client Appointment from the Schedule page 
    1. Click the Schedule tab in the navigation bar. 
    2. Click +New appointment. The New Appointment window open 
    3. Enter the client’s name (be sure to select the client name that populates from the drop down) 
    4. Select the Service Type 
    5. Select Start Date, End Date, Start Time, End Time & Repeat setting (if applicable) 
    6. Select the Forum  
    7. Select the Location (a Room may also be selected, if applicable) 
    8. Click Save
