Step 1: Request Migration Files
To migrate from My Clients Plus 2.0 by Ensora Health:
-
- Contact the Customer Care team and request the files which will be sent to you in a .zip file.
- Extract the files.
IMPORTANT: Files contain confidential client health information and should be kept secure in compliance with HIPPA regulations.
Step 2: Before You Begin
After submitting the request for your files, prepare for the migration by reviewing documents in the My Clients Plus by Ensora Health Knowledge Base. It is recommended that you complete at least Phase 1 on the My Clients Plus Onboarding process before migrating your data.
Onboarding Phase 1
Now you are ready to import your Client data (aka Migrate your Files). See step 3 below.
Step 3: Migrate Files
You will receive a set of .csv files and two folders. The only .csv file that is uploaded is the Clients file.
- Follow the Import Clients to the New My Clients Plus instructions to upload the Client files into the New My Clients Plus.
Because you set up your Organization Settings and entered your Staff in Step 2 above, you can now assign Staff to the Clients you just imported.
IMPORTANT: Files contain confidential client health information and should be kept secure in compliance with HIPPA regulations.
Step 4: Insurance and Client Billing
Setting up your Insurance and enrolling in Client Billing is Phase 2 on the Onboarding process.
Setup Insurance Billing
IMPORTANT: Currently, the only clearinghouse available in the New My Clients Plus is Apex. You will need to go through the enrollment process to switch your clearinghouse to Apex.
Enroll in Merchant/Credit Card Processing
If you currently have a Vantage account through Jituzu, you will not need to re-enroll for Vantage merchant processing in the NEW My Clients Plus. Notify the Customer Care team that you would like to switch your Vantage account over to the NEW My Clients Plus.
If you currently use Andcore or Instamed, those options are not available in the NEW My Clients Plus platform. We do offer Vantage as a Merchant Account option so you can optimize your client payments.
Step 5: Upload Notes and General Documents
There are two folders - files and notes.
Notes Folder
The notes folder contains all notes related to a client including intake and progress notes. Each file name is the client ID number followed by last name, first name. The file is in .html format and shows session details followed by an image of the note.
Each file will need to be uploaded individually into the client's Clinical Documents tab in Client Notes.
NOTE: These are .html files and must be uploaded using the  Upload Files button. Do not drag and drop.
Files Folder
The files folder contains other client-related documents and files in individual folders. Each folder name is the client ID number followed by last name, first name. Open the folder to ensure there are no .html files. If it does not contain .html files the whole folder can be dragged and dropped into the General Documents tab in the Client Profile.
IMPORTANT: Files contain confidential client health information and should be kept secure in compliance with HIPPA regulations.
