FormLab: Prefill Editor

The Prefill Editor will take existing data from one location and automatically enter it into a FormLabTM form when the appropriate rules are set up.

Prefill Editor Rules:

  1. You can prefill from 3 places:
    1. From one FormLabTM form to another FormLabTM form.
    2. From a Patient’s Chart.
    3. From Patient Details.
  2. If you choose to prefill from a FormLabTM form that is not published, make sure that the form you are prefilling from is published before the form you are prefilling to.
  3. If you publish the FormLabTM form you are prefilling to before the form you are prefilling from, your prefill edits will disappear.
  4. The Prefill Editor only works for Text, Yes/No, Checkbox, Date, Drop-down, Number, Phone Number, Choose Multiple, Choose One, and Grid controls.
    • It does not work for Display Only, Signature, Diagnosis, Medications, Allergy, Goals/Objectives, Prioritized Needs, and Calculation controls.
  5. When prefilling from one FormLabTM form to another FormLabTM form, you can only prefill from like controls.
    • For example, if you are prefilling from a Text control, you can only prefill to another Text control.
  6. When prefilling from a Patient€™s Chart, you can only prefill to Text, Date, Number, Drop-down, and Grid (Text, Number, Drop-down) controls.
  7. When prefilling from Patient Details, you can only prefill to Text, Yes/No, Checkbox, Date, Drop-down, Number, Phone Number, Choose Multiple, Choose One, and Grid controls.

Prefill from a FormLabTM Form

  1. Right-click on the control > View if the control already exists or right-click on [Section] to add the control.
  2. Select the Prefill Editor button.
  3. Select Prefill From Form Lab Forms.
  4. Select the FormLabTM form with the field you want to prefill from
    • Remember the form you are prefilling from must be published before the form you are prefilling to.  This is indicated by the checkmark in the Published column.

  5. Select the field you want to prefill from.
    • Remember if you are prefilling to a Text control, only Text controls in the selected form will appear in the list to prefill from.

  6. Click Ok.
  7. The Prefill Editor symbol should now be green.

  8. click Ok to save the Control.
  9. In the Form Designer, you should see (Prefilled) at the end of the control that you are prefilling to.

Prefill from a Patient Chart

  1. Right-click on the control > View if the control already exists or right-click on [Section] to add the control.
  2. Select the Prefill Editor button.
  3. Select Prefill From Other Places.
  4. In the Select Category drop-down menu, choose Chart.
  5. In the Form Name section, select Chart Demographics from the table.

  6. Select the field you want to prefill from.
    • Depending on which control you are using, some fields may be unavailable, for all available fields use a Text control.
  7. Click Ok.
  8. The Prefill Editor symbol will now be green.

  9. Click Ok to save the control.
  10. In the Form Designer, you should see (Prefilled) at the end of the control that you are prefilling to.

Prefill from Patient Details

  1. Right-click on the control > View if the control already exists or right-click on [Section] to add the control.
  2. Select the Prefill Editor button.
  3. Select Prefill From Other Places.
    • In the Select Category drop-down menu, choose Patient.
  4. In the Form Name section, select Patient Demographics from the table.

  5. Select the field you want to prefill from.
    • Depending on which control you are using, some fields may be unavailable, for all available fields use a Text control.
  6. Click Ok.
  7. The Prefill Editor symbol should now be green.

  9. In the Form Designer, you should see (Prefilled) at the end of the control that you are prefilling to.
