PERMISSIONS REQUIRED: All Users can set Preferred Name in Client Details, must have Billing Permission to set in Bill To & Info Tab.

 

The client may have a preferred name. If added, the preferred name will show in client-facing notifications and most client-facing documentation, as well as in the Client Portal.
The preferred name will not show on printed clinical documents including treatment plans.

 

The Client's Preferred Name replaces their legal name on the following reports:

  • Cancelled and Rescheduled Appointments
  • Clients Served
  • Detailed Attendance
  • No Show Appointments
     

The Clients Legal First and Last name display in Notes and Billing Documentation, as well as in these areas:

  • Client Intake
  • Client Details
  • Printed Progress Notes
     

NOTE: You cannot Import a Client's Preferred Name. You can edit/add it after Clients have been imported.

Set Preferred Name During Client Creation

  1. When you add a New Client, type the Preferred name in the field provided.
  2. Click Save Client after you've entered all other relevant information.

Set Preferred Name in Client Details

After a client has been created, you can add or edit a preferred name.

  1. Locate Client and open Client Profile.
  2. On the Details tab, enter Preferred Name.
  3. Click Save.

Set Preferred Name on Billing Documents

You can set a Client's Preferred Name to display on Invoices, Statements, and Superbills.

IMPORTANT: By default, the Client's legal name will ALWAYS display on documents submitted to insurance. This can not be changed.

 

  1. Locate Client and open Client Profile.
  2. Click the Bill To & Insurance Info tab.
  3. Enter the Client's Preferred name in the Name field. Again, this only changes what will display on Invoices, Statements, and Superbills.
  4. Click Save Billing Info.
