Permissions Required: You need the Admin permission to require prepayments for telehealth.
If your clinic is processing credit cards using Ensora Payments, you can require that clients prepay before they begin telehealth appointments. When this is enabled for the clinic, clients will be asked for payment before they can begin their telehealth session. Once the client enters their payment, they will be taken into the telehealth session.
An admin user must Allow Prepays on Invoices before you can require prepayments for telehealth appointments.
If the client pays for the appointment, leaves the session, then returns to the appointment, they will be able to get back into the session without being asked for payment. Similarly, if a client prepays for the telehealth appointment in advance of the session, the payment for the appointment will be recorded, and the client will be able to log into the appointment without being taken to a payments screen first.
When you require prepayment for telehealth appointments, you can choose to always charge the full billed amount, or charge the copay if a copay has been set.
- Click the Organization tab.
- Select Settings.
- Click the Allow Prepays on Appointments checkbox on the Profile tab.
- Click the Require Full Prepay in Advance of Telehealth Sessions checkbox.
- Select to charge the entire full amount, or charge a copay instead:
- Always Charge Full Billed Amount
- If copay is set, charge copay instead
- Click Save Changes.
