Include Client Race Mapping in 837 File

You can adjust settings to map patient race to the 837 file. This is useful for agencies who need to create claim notes for Tribal billing, or with payers who require that require that patient race is included in the claim note. 

 

Before you Begin: Make sure you have documented your patient's race and insurance information.

  1. Navigate to the Additional Demographic Info section of Patient Details.
  2. Click the dropdown menu in the Race 1 field and select a patient race.
  3. Click the Payer/SS Fee tab and enter patient insurance information.

Configure Settings to Include Patient Race in 837 File

  1. Click Setup from the menu bar at the top.
  2. Select Lookup Manager.
  3. Search for and select Race.
  4. Click in the Open Crosswalks field for your patient's race.

  5. Click in the Report Type field and select 837P.
  6. Enter a Value.
  7. Select a Start Date and End Date (if applicable).
  8. Click Save.

  9. Close the Lookup Table Crosswalk and Lookup Editor, and Lookup Manager Windows.
  10. Click Administration from the menu bar at the top.
  11. Select Insurances.
  12. Search for your patient's Insurance provider.
  13. Click on the 837 Options tab.
  14. Click the 837 - Pull Mapped Value from Race in Patient Details checkbox.
  15. Click Save.
