This process should be followed when a takeback credit is linked to a payer in the system and it needs to be used by a different payer to apply the takeback credit. This typically is an issue for United Health Group payers.

  1. After processing the takeback from Payer A, a takeback credit will be available.
  2. Go to the Refunds/NSF module and follow the instructions in the Create a Refund article.
    • NOTE: Creating a refund starts the process of transferring the takeback credit to the correct Payer ID.

  3. After the refund for Payer A has been created, go to the Payments module.
  4. Follow the instructions in the Add a Commercial Payment article to create a new payment for Payer B. The new payment amount will be the same as the refunded takeback credit.
    • NOTE: It is highly recommended to add a note on the new payment to document that it is a takeback credit from a different payer.

  5. Select the Payment transaction type rather than the Takeback credit transaction type, and apply the new payment created for Payer B on the claim requiring the funds from the takeback credit that was refunded.
