PERMISSIONS: You need Billing permission to cancel a processed payment.

 

With the Payment Processing add-on, you can cancel a card payment that you or a client submitted through Fusion.

 

Fusion processes payments using two different secure payment processors: Vantage, and Ensora Payments with Stripe.  Your payment processor doesn't affect the steps it takes to cancel a payment. However, some information is indicated specifically for clinics using Ensora Payments with Stripe.

 

How do I know which payment processor Fusion uses for my practice?

 

Before You Begin

 

NOTE: It can take 1-3 business days for the refund to show on the client's card.

 

  • When you cancel a transaction before it's been processed by the vendor, it will be voided. For an account payment, this removes the original line from the billing account's statement and cancels the payment before the transaction fee is incurred. For a co-payment, this removes the co-payment from the appointment (the claim might need to be refreshed if it has already been submitted).

    NOTE: If you are processing payments using Ensora Payments with Stripe, cancelling a payment will usually result in a refund, rather than a void.

  • When you cancel a transaction after it's been processed by the vendor, it will be refunded. For an account payment, the original line will remain on the billing account's statement and a new refund line with today's date will be added to offset it. For a co-payment, the co-payment will be removed from the appointment (the claim might need to be refreshed if it has already been submitted). You will still be charged the fee for the original transaction.
  • A transaction can't be refunded if it's been more than 180 days.
     

Cancel a Processed Payment

  1. Go to Billing → AccountsTransactions.
  2. To the right of the transaction, click the Cancel icon cancel_icon.png.
  3. Click the Cancel Transaction button.

    IMPORTANT: If you are processing payments using Ensora Payments with Stripe, NEVER refund a payment using the Stripe dashboard. Refunds processed in the Stripe dashboard will not be reflected in Fusion.
