This bulletin should be shared with staff that enter PAPER AUTHORIZATIONS in the Utilization Review, Managed Care Maintenance screen.
If your facility/clinic does not enter a PAPER AUTHORIZATION, you will not be affected by this enhancement.
UTILIZATION REVIEW is found under POSTING, UTILIZATION REVIEW, PA and UNIT AUTHORIZATIONS.
Once in the Managed Care Maintenance screen, you will notice the APPEAL EXHAUSTED check box has been moved. You will also notice the Paper Auth Rcvd field is no longer available on this screen.
To post a PAPER AUTHORIZATION, make sure to select the auth line corresponding to the PAPER AUTHORIZATION. Navigate to PROCEDURES at the top on the screen; navigate to the bottom of the drop down list; select RECORD PAPER AUTHORIZATION.
Once the RECORD PAPER AUTHORIZATION is selected, the PAPER AUTHORIZATION screen will display. Enter the FROM and THROUGH dates as well as the AUTHORIZATION NUMBER as shown in the paper received. If this information doesn’t match the auth line selected in MEDIK®, the user will receive a message as seen below.
If the paper information is correct, the user will answer YES. By answering YES, the Authorization line WILL BE CORRECTED to match the PAPER AUTHORIZATION. If there is an error on the PAPER AUTHORIZATION, answer NO. Correct the information and SAVE/F1 again.
Once the PAPER AUTHORIZATION is SAVED, and Commit/F1, is selected, the user no longer has the ability to change the PERIOD FROM, PERIOD THROUGH and AUTHORIZATION NUMBER from the main screen. If the authorization is entered incorrectly, and a user SAVES the incorrect information, the user much navigate back into the PAPER AUTHORIZATION and enter and save the correct PAPER AUTHORIZATION again.
Once the PAPER AUTHORIZATION is saved, the date entered and who posted the PAPER AUTHORIZATION, will be recorded on the screen as shown above.
The PAPER AUTHORIZATION information and the user who posted it, is also recorded on the MORNING REPORT, found under REPORTS, UTILIZATION REVIEW, MORNING when printed in spreadsheet.
